Payroll Administrator

The Payroll Administrator is responsible for ensuring employees are paid accurately and on time. This role manages a high volume of employee inquiries, providing clear, courteous, and detailed responses to employees at all levels while maintaining accuracy, confidentiality, and compliance with payroll processes.

Reports to:

Payroll Supervisor

Minimum Qualifications:

  • Minimum of 3–5 years of payroll administration experience, including multi-state payroll processing
  • Strong analytical skills
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Ability to organize and prioritize tasks, meeting required deadlines
  • Excellent verbal and written communication skills

Preferred Qualifications:

  • Bachelor's degree preferred, but not required
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation

Working Conditions:

  • This position operates in a professional office environment which may require sitting for extended periods.
  • Routine use of office equipment such as computers, phones, photocopiers, fax machines, filing cabinets

Essential Job Functions:

  • Process employee data (new hires, terminations, employee changes) in HRIS system
  • Strong understanding of multi-state taxation, reciprocity agreements, and state/local reporting requirements
  • High attention to detail with the ability to identify and resolve payroll discrepancies
  • Ability to manage a high volume of employee inquiries in a deadline-driven environment
  • Excellent written and verbal communication skills with a strong customer-service focus
  • Ability to handle sensitive and confidential information with discretion
  • Strong organizational and time-management skills
  • Assist employees with inquiries regarding payroll and time reporting
