Position Overview
We are seeking a professional, polished, and personable Front Desk & Administrative Assistant to serve as the primary point of contact for our clients and to support the daily operations of the clinic. This role is essential to ensuring smooth front desk operations, strong client communication, and a consistently high standard of service throughout the clinic.
The ideal candidate is articulate, organized, proactive, and takes pride in presentation, communication, and maintaining an elevated, well-run environment. This position combines client-facing hospitality with administrative support and light operational responsibilities in a luxury wellness setting.
Key Responsibilities- Greet clients warmly and professionally upon arrival
- Serve as the primary point of contact for clients, phone calls, and emails
- Check clients in and out accurately using scheduling and documentation systems
- Coordinate with clinical staff to ensure smooth appointment flow
- Offer and prepare refreshments such as coffee, juice, water, or wellness beverages
- Maintain a clean, organized, and welcoming front desk, waiting area, restrooms, and treatment rooms
- Perform general administrative tasks including light data entry, filing, and scheduling support
- Monitor and restock front desk, beverage station, and restroom supplies
- Handle client information with discretion and in compliance with HIPAA requirements
- Perform other duties as assigned to support clinic operations and client experience
- Excellent verbal and written communication skills
- Strong interpersonal and customer service abilities
- Professional demeanor with attention to detail and presentation
- Highly organized, reliable, and punctual
- Comfortable multitasking in a fast-paced, client-facing environment
- Ability to remain calm, courteous, and solutions-oriented under pressure
- Experience in a front desk, administrative, hospitality, wellness, or customer-facing role is a plus
- Familiarity with scheduling systems or electronic records is helpful but not required
- Willingness to support both front-of-house and behind-the-scenes responsibilities
- Comfortable adhering to professional appearance and workplace standards
