Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Overview
The Office Administrator oversees day-to-day office administrative tasks to ensure a well-organized, efficient, and welcoming workplace. This role manages administrative processes, maintains office systems, and handles coordination across multiple functions such as communication, event coordination, inventory management, and scheduling. This role requires excellent organization, independence, professionalism while operating in a fast-paced environment. 100% Onsite. Possible Temp to Hire.
Responsibilities- Welcome and check in all visitors, ensuring a professional and friendly experience
- Receive, sort, and distribute incoming mail and packages
- Prepare and send outgoing mail, certified mail, and shipments to appropriate business partners and external parties
- Receive and redistribute voicemails received through Corporate Headquarters line
- Coordinate and set up lunch orders for meetings and team events
- Receive and process invoices for lunch orders and team events
- Schedule and manage conference room reservations to avoid conflicts
- Monitor and replenish office and kitchen supplies
- Oversee general office upkeep, ensuring a clean, organized, and functional work environment
- Act as liaison between various departments to ensure proper management and maintenance of office equipment (printers, copiers, conference room tech)
- Providing additional administrative support to on-site staff and assisting with special projects as needed
- Bachelor’s degree required.
- Minimum 4 years of administrative experience including support to multiple individuals at a given time; previous experience supporting a Corporate Headquarters office preferred.
- Excellent communication and interpersonal skills.
- Professional acumen. Ability to interact with individuals at all levels within the organization.
- Professional demeanor and ability to maintain confidentiality.
- Proactive, with the ability to work independently and with minimum direction.
- Must be able to multi-task and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion.
- Must be comfortable with Microsoft Office programs:
Word, Excel and PowerPoint. SharePoint knowledge is a plus but not required. - Spanish speaking is a plus but not required.
