. You’ll be the first impression for job applicants, clients, and partners, and the central hub for internal coordination. From managing office aesthetics to supporting company-wide initiatives, your work will directly impact our team’s productivity, morale, and growth.

What You’ll Be Doing
  • Greet visitors and make them feel welcome. You are the main point of contact for walk-in English- and Spanish-speaking job applicants.
  • Answer and direct phone calls in both English and Spanish
    , taking messages and providing information as needed.
  • Order supplies and coordinate with vendors for office maintenance such as cleaning services or equipment repairs. This role has ownership of the appearance and functionality of the building.
  • Manage embroidery orders and other occasional errands; maintain a clean driving record.
  • Order lunch and book space for meetings and teambuilding activities.
  • Assist with scheduling and coordinating appointments, meetings, and travel arrangements for team members or employment candidates.
  • Maintain office supplies inventory, stock the breakroom, and order other materials when necessary.
  • Maintain coffee machine, load and unload dishwasher, and occasionally assist with light office cleaning tasks.
  • Manage incoming and outgoing mail and deliveries in a timely manner.
  • Provide data entry and tracking assistance as needed.
  • Ensure that all office equipment is functioning properly and arrange for maintenance when needed.
  • Support company growth initiatives: develop a keen understanding of each department head, their responsibilities, and promptly notify the right person when building needs or department-specific issues arise.
  • Willing to jump in to assist other team members with administrative tasks.
Who You Are
  • 2+ years administrative experience, preferably in heavy construction or engineering.
  • Calm under pressure, responsive, and resourceful.
  • Strong communication skills, both verbal and written, with a professional and approachable demeanor.
  • Valid driver’s license and clean driving record required.
  • Comfortable reading and interpreting general business documents to route to appropriate team members.
  • General knowledge of construction processes a plus.
  • Proficient in Microsoft Outlook, Excel, and Word required;
    PowerPoint preferred.
  • Basic proficiency in Adobe Acrobat or Bluebeam.
  • Well organized, collaborative, and proactive.
  • Ownership mindset - you follow through and take initiative.
  • Legal right to work in the U.S. indefinitely without employer sponsorship.
