Position Overview

Joining the company at a pivotal moment of digital and organizational transformation, the Executive Assistant to the Chief Digital & Technology Officer (CDTO) serves as a strategic partner and operational leader, responsible for maximizing executive effectiveness, driving organizational alignment, and ensuring seamless execution across a highly complex global environment. This is not a traditional administrative role. This individual operates as an extension of the CDTO, anticipating needs, prioritizing competing demands, and ensuring that the executive’s time, focus, and energy are directed toward the highest impact work.

The role requires high judgment, strong business acumen, and proactive ownership, supporting a global team across multiple time zones while influencing outcomes across senior leaders, executive assistants, and cross‑functional stakeholders. This is a high‑visibility, high‑trust role that directly impacts executive effectiveness and organizational performance.

Executive Effectiveness & Strategic Prioritization
  • Proactively manage and optimize the CDTO’s time, focus, and priorities.
  • Anticipate needs 2–3 steps ahead, ensuring readiness for key meetings, decisions, and deliverables.
  • Build and manage forward‑looking cadence across board meetings, SLT, town halls, and key initiatives.
  • Act as a thought partner in prioritizing requests, filtering inputs, and escalating critical matters.
Calendar Leadership & Operating Rhythm
  • Own and orchestrate a highly complex, global calendar across multiple time zones and senior stakeholders.
  • Establish efficient meeting cadence and ensure alignment across executive peers and their offices.
  • Exercise strong judgment in balancing accessibility with focus—protecting time while enabling speed.
  • Enable rapid scheduling and decision‑making across senior leadership.
Stakeholder Management & Executive Presence
  • Serve as a key interface between the CDTO and senior leaders, Board members, and external partners.
  • Build strong relationships across executive assistants and leadership teams to drive alignment and responsiveness.
  • Represent the CDTO with professionalism, discretion, and credibility.
  • Act as gatekeeper and connector, ensuring the right information reaches the right audience at the right time.
Meeting Preparation & Follow‑Through
  • Ensure the CDTO is fully prepared for all critical engagements (materials, context, priorities).
  • Track key decisions, commitments, and follow‑ups from meetings and ensure execution.
  • Coordinate high‑impact events (town halls, leadership meetings) with speed and precision.
  • Drive post‑meeting communication and alignment (e.g., recaps, materials, next steps).
Communication & Content Support
  • Draft, review, and refine executive communications (emails, presentations, internal announcements).
  • Ensure messaging aligns with executive intent, tone, and organizational priorities.
  • Support development of presentations and materials for leadership forums and key initiatives.
Operational Execution & Coordination
  • Coordinate travel, expenses, and logistics with high attention to detail and efficiency.
  • Manage collaboration tools and ensure smooth digital workflow across the executive office.
  • Enable seamless coordination across global teams and functions.
  • Ensure timely and accurate execution of all administrative and operational responsibilities.
Culture, Energy & Organizational Impact
  • Bring energy, urgency, and a strong sense of ownership to the role.
  • Act as a cultural amplifier—driving engagement, responsiveness, and accountability across teams.
  • Serve as an extension of the CDTO’s leadership style and expectations.
  • Help create cohesion across a distributed, global organization.
Key Performance Indicators (KPIs)
  • Executive time optimization (focus vs. reactive workload).
  • Calendar efficiency and responsiveness.
  • Meeting preparedness and follow‑through effectiveness.
  • Speed and quality of decision‑making support.
  • Stakeholder satisfaction (executive team, EA network).
  • Accuracy and timeliness of execution.
  • Quality of executive communications.
  • Organizational alignment and coordination.
Qualifications
  • 5–10+ years of experience supporting C‑level executives in complex, global organizations.
  • Proven ability to operate in high‑demands, fast‑paced environments with multiple stakeholders.
  • Exceptional organizational and prioritization skills with strong attention to detail.
  • High emotional intelligence and strong judgment in ambiguous situations.
  • Ability to anticipate needs and operate proactively with minimal direction.
  • Strong communication skills (written and verbal) with executive‑level polish.
  • Experience managing complex calendars across global teams and time zones.
  • Proficiency with Microsoft Office, collaboration tools, and digital platforms.
  • High level of discretion and professionalism.
