The Executive Assistant to the Lead Pastor is a high‑trust, high‑impact role that plays a critical part in advancing Embassy City’s mission to be a place where anyone can grow in Christ with others. This role protects the Lead Pastor’s time, sharpens his focus, and ensures the right priorities move forward with clarity, urgency, and excellence. This role goes beyond traditional administrative support— it requires discernment, initiative, and the ability to anticipate needs in a fast‑moving, vision‑driven environment.
The Executive Assistant will manage competing priorities, streamline communication, and remove operational friction so the Lead Pastor can remain focused on prayer, teaching, leadership, and organizational direction. The ideal candidate thrives in a high‑responsibility role, exercises sound judgment, and operates with both precision and confidence.
- Manage and optimize the Lead Pastor’s complex and evolving calendar, ensuring alignment with strategic priorities
- Oversee and filter incoming communication (email, calls, in‑person requests), responding or escalating with discernment and urgency
- Serve as a gatekeeper and liaison, ensuring the Lead Pastor’s time and attention are directed toward the highest‑impact opportunities
- Serve as a trusted liaison to the Lead Pastor’s family, providing administrative and logistical support while coordinating communication with professionalism, discretion, and clear boundaries
- Prepare, draft, and manage high‑level correspondence on behalf of the Lead Pastor with professionalism and clarity
- Plan, coordinate, and execute meetings with intention—ensuring agendas, materials, and follow‑ups drive outcomes
- Anticipate needs, identify potential conflicts or bottlenecks, and proactively provide solutions
- Develop, organize, and maintain a comprehensive sermon archive system for the Lead Pastor, ensuring messages and supporting materials are accessible, searchable, and well‑preserved
- Coordinate guest speaker logistics, including communication, travel, and accommodations
- Maintain organized digital and physical systems that support efficiency and accessibility
- Handle sensitive and confidential information with the highest level of discretion
- Provide additional support as needed to ensure continuity, alignment, and execution of priorities
