Responsibilities
- Oversee daily facility operations, maintenance activities, and vendor/contractor management.
- Manage building services, preventative maintenance, repairs, and emergency maintenance activities.
- Administer site security, access badges, visitor sign-in systems, and coordinate with alarm/security providers.
- Manage facility budget, including forecasting, purchasing, PO processing, invoicing, vendor sourcing, and cost control.
- Coordinate visitor experiences, customer tours, VIP visits, meeting room arrangements, catering, and event logistics.
- Ensure compliance with Health, Safety & Environmental (SHE) regulations and company policies.
- Act as site First Aider and Fire Marshal; coordinate safety training, drills, risk assessments, and audits.
- Maintain facility documentation, maintenance records, training files, and operational procedures.
- Provide administrative support to senior leadership, including calendar management, travel arrangements, project documentation, expenses, and contract/NDA administration.
- Facilities Management, Facilities Coordinator, Office Manager, Workplace Manager, Building Operations, or similar experience.
- Experience managing vendors, contractors, and service providers.
- Budget management and cost control experience.
- Experience coordinating facility maintenance, repairs, and workplace operations.
- Knowledge of building safety, OSHA/health & safety compliance, risk assessments, and emergency procedures.
- Experience supporting executive leadership and managing administrative functions.
