Primary Purpose

Support the efficient and effective operation of Technical Services by providing comprehensive administrative and clerical support to the Director of Technical Services, Technical Services Coordinator, District Technicians, and Campus Technicians. Coordinate district-wide procurement, inventory management, asset lifecycle, and maintenance activities for technology devices, including laptops, iPads, Chromebooks, and audio/visual equipment, while supporting departmental projects and reporting.

Qualifications

Minimum Education

* High School Diploma or GED

Minimum Experience

* At least three years of experience in a high-volume office support setting, preferably in an educational environment.

* At least two years of successful experience in a technology-related field, preferably in an educational environment.

* Experience with budget management, general bookkeeping, and inventory management.

Special Knowledge and Skills

* Basic understanding of hardware such as printers, laptops, desktops, tablets, and input peripherals.

* Knowledge of inventory management, including acquisition, asset identification, transfers, warranty tracking, and disposal.

* Proficiency with label printing software.

* Basic familiarity with IT service management systems, such as Zendesk, preferred.

* Strong verbal, written, and interpersonal communication skills.

* Proficiency in Microsoft Office Suite and Google Workspace applications.

* Understanding of general purchasing workflows; knowledge of district financial systems is beneficial.

* Knowledge of basic accounting principles.

* Ability to prepare reports, spreadsheets, and departmental documentation.

* Ability to maintain accurate, auditable, and confidential records.

Major Responsibilities and Duties

Administrative Support

* Organize routine work activities for the Director of Technical Services, Technical Services Coordinator, District Technicians I and II, AV support staff, and Campus Technicians.

* Prepare correspondence, forms, reports, and documentation as directed.

* Maintain departmental procedures, records, and project documentation.

Communication and Coordination

* Answer incoming calls in a courteous and professional manner; take and route reliable messages.

* Provide excellent customer service to all end users of department services.

* Coordinate communication with campuses, departments, vendors, and Technology Services staff as needed.

Inventory and Purchasing

* Monitor and reorder office and technician supplies using approved purchasing methods.

* Coordinate the lifecycle of district technology assets, including purchasing, receiving, inventory, warranty tracking, repairs, transfers, and disposal.

* Assist with annual inventory audits and technology refresh projects.

Financial and Budget Management

* Process and submit personnel payroll reports using Kronos and Munis; assist with personnel documentation, including A+ certifications and personnel action forms.

* Perform routine bookkeeping tasks, including creating purchase orders, processing invoices, and maintaining budget records.

* Assist in the preparation of the annual departmental budget and monitor expenditures throughout the year.

* Ensure invoices are processed accurately and on time.

* Assist with creating RFPs and district bids for technology equipment.

* Monitor technology warranties, maintenance agreements, and purchasing contracts.

General Office Management

* Receive, sort, and distribute mail and documents.

* Maintain departmental files and records.

* Schedule appointments and make travel arrangements as needed.

* Prepare meeting materials, arrange meeting logistics, and record and distribute meeting minutes.

Support and Collaboration

* Regularly communicate with the supervisor to report on projects, issues, and operational needs.

* Collaborate with and assist other staff members in the department on assigned projects.
