The Cat Technology Division is looking for a highly motivated Administrative Assistant in Irving, TX. In this role, you’ll offer top-notch administrative support to our company executives, giving them more time to focus on their key management duties.
What You Will Do- Typing, filing, transcription, and/or shorthand.
- Operate a PC and standard software programs. The incumbent spends a significant amount of time organizing and expediting workflow through the supervisor’s office. Job duties also require the use of advanced levels of understanding and skill in Microsoft Office.
- Prepare expense books. Tend to all the details involved with manager’s visits to Caterpillar domestic and overseas facilities and to other companies and unions. Coordinate visits of corporate customers, coordinate airline travel, prepare expense books and reconcile manager’s expense statement.
- Coordinate communications by receiving and passing along e-mails, notices, etc. Organize, complete, and maintain large projects such as a database for a process improvement. This might also include the direction and coordination of the activities of others such as temporary clerical help, co-ops, other administrative professionals, etc.
- Prepare presentation materials as needed.
- Schedule meetings and maintain calendars.
- Arrange customer/dealer/consultant visits including lodging, meals, scheduling, meetings, etc. Works with highly sensitive and confidential information.
- Effective Communications: Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.
- Management: Knowledge of relationship management techniques; ability to establish and maintain healthy working relationships with clients, vendors, and peers.
- Accuracy and Attention to Detail: Understanding the necessity and value of accuracy; ability to complete tasks with high levels of precision.
- Planning and Organizing: Knowledge of the process of planning and arranging tasks and resources; ability to plan and organize both time and resources to get things completed while structuring and maintaining work in a systematic and highly methodical way.
- Copywriting and Editing: Knowledge of copywriting and editing; ability to write, review and edit texts and documents to promote marketing.
- Extensive experience with Microsoft Office (Word, Excel, PowerPoint, Teams, etc.)
- Previous experience supporting the Director and Senior Director levels of an organization.
- Ability to be proactive & anticipate needs, solve problems before escalation, handle ambiguity with confidence, and protect executive’s time.
- This position requires the candidate to work full-time at the Irving, TX office (Dallas)
- Relocation assistance is NOT available for this position.
- Visa sponsorship is NOT available with this position.
- This position requires working onsite five days a week.
$25.10 - $37.60 per hour
