Position Overview
We are seeking a highly organized, detail-oriented Administrative Assistant to provide critical support to our Corporate Administrator, executive leadership team, and Bid Division Manager. This role is ideal for a proactive professional who thrives in a fast-paced environment and can effectively manage multiple priorities while maintaining a high level of accuracy and confidentiality.
You will play a key role in ensuring operational efficiency, mitigating legal and financial risk, and maintaining compliance across projects and jurisdictions.
This role is an IN-OFFICE role located at our Corporate Office in Oklahoma City.
Pay Range: $24.00-$26.00 per hour
Key Responsibilities- Conduct research on jurisdictions, regulatory requirements, and compliance-related permitting topics
- Manage special projects involving cross-functional collaboration
- Utilize Excel and SharePoint to track data, apply formulas, and generate reports
- Organize and maintain legal documentation related to contracts and facility services across all divisions
- Ensure all projects have binding customer contracts in place
- Track, manage, and process customer change orders and project scope adjustments
- Oversee licensing, insurance, billing, and lien waiver requirements in compliance with state laws and company policies
- Support negotiation and finalization of agreements for equipment and services
- Maintain strict confidentiality and professionalism in handling sensitive information
- Provide high-level administrative support to the Corporate Administrator and executive leadership
- Serve as backup to the Corporate Administrator as needed
- Coordinate meetings via Microsoft Teams, including scheduling, logistics, and follow-up
- Draft, edit, and finalize reports, correspondence, legal documents, and meeting minutes
- Maintain and update corporate records and shared documentation

Required:
- Proven experience as an Administrative Assistant, Executive Assistant, or similar role
- Strong organizational and multitasking abilities with exceptional attention to detail
- Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Excellent written and verbal communication skills with a polished, professional tone
- Typing speed of 60+ WPM
- Ability to manage competing priorities in a dynamic environment
- High level of discretion and professionalism when handling confidential information
- Experience in construction, audiovisual (AV), or a related technical industry
- Associate’s degree or higher in Electronics or a related field
- Familiarity with safety standards and OSHA regulations
- Proactive problem-solving and critical thinking
- Strong interpersonal skills across all levels of the organization
- Technical aptitude and comfort with digital tools and systems
- Self-motivated with a results-driven mindset
