The General Administrative Specialist provides essential support across multiple departments by performing a variety of office, accounting, compliance and clerical functions, with heavy support for vehicle and equipment sales department. The position is responsible for accurate data entry, customer invoicing, vehicle title processing, office supply management, report preparation and compliance documentation. The ideal candidate is highly organized, detail oriented, proficient with Mircrosoft Office, and capable of managing multiple priorities in a fast-paced environment.

Responsibilities and Duties:
  • Accounting and Admin Support
  • Perform daily accounting data entry with a high degree of accuracy and according to company SOP.
  • Reconcile reports, records, and supporting documentation as assigned.
  • Maintain organized digital filing systems according to company SOP.
  • Prepare and maintain correspondence, forms, spreadsheets and reports as assigned.
  • Tracking various company key management indicators.
  • Assist in answering phones and covering receptionist desk as needed.
  • Assist with scheduling meetings and maintaining calendars as needed.
  • Prepare detailed sales invoices, ensuring complex accounting SOP are followed to accurately record cost associated with the sale of equipment.
  • Manage equipment inventory records via in-house accounting system and digital filing system.
  • Prepare and process vehicle and equipment registration and title packages for county registration/ title offices accurately and timely.
  • Coordinate with customers, dealerships, financial institutions and government agencies regarding title transactions.
  • Track outstanding title work and resolve discrepancies.

  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem‑solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with Excel software.
Education and Experience:
  • High School Diploma or GED equivalent
  • At least two years related experience preferred
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
