Summary Reporting to the Director of Admissions, the Admissions Receptionist is the first face that clients and family members will see when they enter Nexus and must be prepared to represent Nexus in a friendly, professional manner. Additionally, the Receptionist is responsible for coordinating office tasks, including directing visitors and callers, responding to questions from family members and new admission clients, and responding to client questions.

Essential Duties & Responsibilities Supports the Admissions team with incoming clients by providing clients with appropriate paperwork and helping to get clients into Admissions in an efficient, compassionate manner.

Enters all new admits into the Intellium system and logs their initial urine drug screen.

Assist admission counselors by helping with property search

Conduct client UA’s and help them change into scrubs.

Maintain an adequate number of all printed documents used in the admission department.

Assist with the management of the referral list in CMBHSAssist with managing the waitlist in CMBHSLearns and adheres to all confidentiality rules relating to clients, client information, financial information, and other private information.

Ensures services delivered as in line with the Nexus Mission and Values Other duties within the organization as assigned.

Proficient in the use of office technology tools such as Microsoft Outlook, Excel, Teams, etc.

Writes accurately and professionally in emails and documentation

Demonstrates active listening and empathy during sensitive conversations

Creates a welcoming, nonjudgmental environment for all visitors

Handles concern calmly and with discretion

Understands the stress clients and families may be under and responds with compassion

Maintains strict confidentiality of client records and interactions

Understands and adheres to HIPAA and agency privacy policies

Balances phone calls, walk-ins, appointment coordination, and administrative tasks

Prioritize tasks effectively in a fast-paced environment

Presents a calm, helpful, and respectful demeanor always

Dresses appropriately and reflects the values of the organization

Ability to learn and use EMR/EHR systems.

Uses email, phone systems, printers, and scheduling tools efficiently

Interacts respectfully with clients from diverse backgrounds

Understand trauma-informed principles and how to support individuals in crisis

Education & Experience High school diploma or general education diploma required. Associate’s degree or equivalent from two-year college or technical school preferred; or six months to one-year related experience.
