Job OverviewJDC Power Systems, LLC, is looking for a motivated Office & Project Coordinator to join our team in our Irving, Texas office. The Office & Project Coordinator provides administrative, operational, and project coordination support for the Field Service organization and local office operations. This position serves as a shared resource supporting Technical Project Management, Regional Management, field personnel, and visitors to the office.
The role is responsible for coordinating office activities, maintaining records and documentation, supporting project administration, tracking action items, assisting with logistics and scheduling, and ensuring the day-to-day needs of the office are addressed. As the organization continues to grow, this position will play a key role in establishing consistent processes and providing operational support across multiple functions.
Responsibilities Office Administration:- Serve as the primary administrative resource for the office.
- Coordinate visitors, deliveries, vendors, and facility-related needs.
- Maintain office supplies, equipment, and inventory.
- Assist with onboarding logistics for new employees.
- Support scheduling of meetings, conference rooms, and office events.
- Coordinate travel arrangements and lodging as required.
- Maintain office records and filing systems.
- Assist Technical Project Managers and Regional Managers with project documentation and tracking.
- Schedule project kickoff meetings and recurring status meetings.
- Maintain action-item logs and meeting minutes.
- Track project deliverables and support reporting efforts.
- Maintain project documentation and closeout records.
- Coordinate technician travel, lodging, and mobilization requirements.
- Track training records, certifications, and compliance documentation.
- Coordinate site access information and customer-required documentation.
- Support equipment and parts logistics.
- Compile reports, dashboards, and KPI metrics.
- Assist with time sheet and expense tracking.
- Support data entry and record maintenance within Net Suite and other systems.
- Maintain FAR, issue-tracking, and action-item databases.
- Assist managers with document preparation and communication.
- Assist with purchase requests and order tracking.
- Coordinate incoming and outgoing shipments.
- Track project materials, equipment, and inventory.
- Support warehouse and spare-parts administration as needed.
- Help develop office procedures and organizational standards.
- Support process-improvement initiatives across Field Service.
- Maintain lessons-learned and reference documentation.
- Identify opportunities to improve administrative and project workflows.
- Associate's degree preferred, or equivalent combination of education and experience.
- 2-5 years of experience in administrative support, office management, project coordination, or operations.
- Experience supporting technical, construction, manufacturing, or field service organizations preferred.
- Strong organizational and customer service skills.
- Military administrative, logistics, or leadership experience is highly valued.
- Exceptional organizational skills.
- Professional customer-service mindset.
- Advanced Microsoft Office skills (Excel, Word, Outlook, Teams).
- Experience maintaining records, schedules, and databases.
- Ability to multi-task and manage competing priorities.
- Detail-oriented with strong follow-through.
- Experience with ERP systems such as Net Suite preferred.
