The Core Administrator is responsible for managing the end-to-end lifecycle of core inventory and returnable assets. This role ensures effective collection, tracking, reconciliation, and disposition of cores while minimizing financial exposure and maximizing recovery value. The position requires strong cross-functional collaboration with vendors, distribution centers, and branch teams, along with a high level of ownership, follow-through, and attention to detail in a time-sensitive environment.
Responsibilities- Manage the full lifecycle of core inventory, including collection, tracking, settlement and final disposition.
- Partner with branches, distribution centers, and vendors to ensure timely and accurate return of core products.
- Monitor core balances and reconcile discrepancies to prevent financial leakage.
- Coordinate with vendors to understand and optimize return terms, credit processes and timelines.
- Track and report on core performance metrics, including recovery rates and outstanding liabilities.
- Drive resolution of exceptions, disputes and reconciliation challenges across internal and external partners.
- Ensure compliance with company processes, vendor agreements and return guidelines.
- Identify and implement process improvements to enhance visibility, accuracy and efficiency of core management.
- Collaborate cross-functionally with Supply Chain, Finance, Operations and external partners to align execution.
- Maintain accurate documentation and reporting related to core activity and financial impact.
- Support high-risk, high-value inventory initiatives with a proactive, solutions-oriented approach.
- Participate in special projects and continuous improvement initiatives as assigned.
- Bachelor’s degree in business or equivalent (preferred).
- Good computer skills, including Excel.
- 3+ years of experience in inventory management, returns or supply chain operations.
- Experience working with high-value or returnable inventory (cores preferred).
- Strong understanding of inventory controls, reconciliation processes and financial impact of inventory decisions.
- Proven ability to work cross-functionally and manage competing priorities in a fast-paced environment.
- Strong analytical and problem-solving skills with attention to detail.
- Excellent communication and collaboration skills across all levels of the organization.
- Ability to manage time-sensitive, high-risk workflows with minimal supervision.
- Proactive, self-directed approach with a focus on execution and accountability.
- High level of organization and follow-through to close gaps and resolve issues.
