As the Meetings Program Manager supporting the Strategic Partnerships team, you will play a pivotal role in driving the success of Gartner Conferences by orchestrating meeting programs that facilitate meaningful engagement between internal business units and conference attendees. This highly collaborative role requires exceptional attention to detail and robust project management skills to ensure seamless execution across a diverse portfolio of conferences and stakeholders.
Key Responsibilities- Partner closely with internal teams—Conference Strategic Partnerships, Business Technology Solutions, Logistics and Content, Branding & Journey, and Sales and Service Delivery leaders—to build strong relationships and translate objectives into effective meeting center strategies.
- Lead end‑to‑end planning, implementation and oversight of meeting center operations across multiple conferences, managing timelines, resources and deliverables while adapting strategies to evolving business needs.
- Oversee the development, testing and maintenance of integrated scheduling tools to ensure accuracy in booking processes and data integrity.
- Monitor meeting center bookings, troubleshoot issues and maintain comprehensive records to evaluate utilization and quantify value.
- Serve as the primary point of contact for internal and external partners, providing training and support for meeting program technologies.
- Manage onsite operations—including check‑in desks and attendee guidance—while prioritizing client experience during dynamic conference sessions.
- Collect quantitative data on meeting center usage, gather stakeholder feedback and contribute to process enhancements.
- Strategic Partnerships, Business Technology Solutions, Logistics, Content, Branding & Journey.
- Sales leaders, Service Delivery leaders, Sales/Service Operations, Experiential Marketing, and other business unit leaders.
- Gartner clients and prospects attending conferences in‑person.
- Oversee meeting center operations at select conferences, supporting associates and attendees with booking processes and technology usage.
- Provide training and support to onsite teams for a flawless client experience.
- Monitor meeting program capacity and generate daily reports to inform decision‑making.
- Proven experience in project management, preferably in events, conferences or stakeholder engagement roles.
- Exceptional attention to detail and organizational skills.
- Strong interpersonal and communication abilities, and talent for collaborating across teams and seniorities.
- Comfortable managing multiple priorities in a fast‑paced, dynamic environment.
- Technologically savvy, with experience in scheduling or CRM platforms a plus.
Salary: $70,000–$104,000 USD base, plus annual bonus plan or role‑based uncapped sales incentive. Generous PTO, 401(k) match up to $7,200 per year, opportunity to purchase company stock at a discount, and other market‑leading benefits.
