Primary
Purpose:
To work directly under the supervision of the Executive Director and Director of Athletics, providing support to athletic staff and coaches across Irving ISD.
- High school diploma or GED
- At least 3 years experience in a clerical or secretarial role with extensive contact with people (2 years preferred)
- Excellent communication, public relations, interpersonal, and organizational skills
- Proficiency with Microsoft Office applications and Google Suite for Education
- Ability to use technology and district programs effectively with reasonable assistance and training
- Ability to work accurately and rapidly with numbers to meet deadlines
- Maintain accurate and auditable records according to district policy
- Coordinate and schedule part‑time event workers for athletic events
- Collaborate with the Athletic Office Manager and athletic staff to prepare budgets, bid proposals, quote requests, purchase orders, and payment authorization for department supplies and in‑service materials.
- Verify pay information for athletic officials and attendants for middle school, high school, and campus sporting events; process event worker payroll and other payroll requirements.
- Maintain payroll records and reports in accordance with district guidelines; process payments for entry fees for high school sports.
- Maintain and verify ticket sales for out‑of‑town games.
- Serve as visitor reception in the Athletic Office; receive and answer incoming calls, take messages, respond to emails timely, and route to appropriate staff.
- Help coordinate staffing of event personnel throughout the district for district and campus athletic events.
- Act as liaison between Athletics and Transportation Departments to enter all bus requests for all sports at all high schools and middle schools.
- Assist the Athletic Office Manager with entering athletic equipment orders and organizing events at Joy and Ralph Ellis Stadium.

Working ConditionsMental/Physical Demands: Must maintain emotional control, exercise reasoning and problem‑solving skills under stress; demonstrate effective verbal and written communication; interpret procedures and analyze data for decision‑making. Occasional prolonged and irregular hours, primarily during football season.
SafetyContribute to prevention of accidents by observing safety rules and district policy; practice safety training principles and skills; wear personal protective equipment as required; report injuries and incidents immediately; be proactive in ongoing workplace safety improvements.
