Overview

Job Title: Baby University Administrative Secretary

IRVING INDEPENDENT SCHOOL DISTRICT

WAGE/HOUR STATUS: Nonexempt

FUNDING SOURCE: Local

REPORTS TO: Baby University Director

PAY GRADE: Paraprofessional 50 (210 Days)

DEPARTMENT: Baby University Childcare Center

PRIMARY

PURPOSE:

Facilitate the efficient operation of the district employee childcare administrative office and provide clerical services for the school’s administrative staff.

Qualifications

High School Diploma or GED

Must pass a background check

Three (3) years clerical/secretarial experience or other equivalent experience or background.

Two (2) years experience working with children in a preschool or child care setting preferred.

Education/Certification

Per the Texas Department of Health and Human Services (TDHHS), new employees of a childcare center with less than 2 years  experience must:

  • Obtain 24 hours of pre-service training
  • Obtain 24 hours of annual training
  • Have high school diploma, high school equivalent, or high school certificate of coursework completion as defined in Texas Education Code,
  • 28.025(d)
  • Acquire and maintain current pediatric CPR, First Aid and Food Handler’s certificates
  • Acquire a valid Texas Education Aide Certificate, Child Development Associates (CDA) or an Associates Degree in Early Childhood

All required Child-Care Regulations training will be provided by IISD.

Special Knowledge/Skills
  • Thorough understanding of childcare center operations
  • Knowledge of TDHHS minimum standards for child-care centers
  • Reports to work on time, is reliable for regular work and maintains good attendance.
  • Ability to work flexible hours and demonstrate a positive attitude
  • Display good communication skills and ability to receive and follow directions
  • Ability to demonstrate a high degree of flexibility and adaptability
  • Ability to work with diverse populations

  • Knowledge of basic accounting principles
  • Proficient skills in typing, word processing, and file maintenance

  • Ability to operate computer/peripherals using a variety of basic applications
  • Ability to effectively use district and childcare programs with reasonable assistance
  • Maintains confidentiality
Major Responsibilities And Duties
  • Assist students, teachers, and parents as needed.
  • Receive incoming calls, take reliable messages, and schedule appointments.
  • Promote a positive, caring climate for learning for staff, students, and parents.
  • Perform accounting tasks following established district and TDHHS Child Care Regulation standards including, but not limited to, those related to budget, curriculum material, fixed assets, requisitions, purchase orders, record keeping of both staff and students.
  • Participate in in-service Childcare Regulations Employee Required trainings, staff meetings, and special events as required.
  • Manage student and campus activity accounts as required
  • Keep accurate records of staff absences and substitutes utilized
  • Monitor, process and submit personnel payroll reports to central office as required
  • Manage office and daily activities as needed or directed
  • Assist in compiling information to be used in various administrative reports required by both the District and TDHHS Child Care Regulations
  • Maintain the scheduled use of the building and make requests for appropriate heating/cooling systems
  • Maintain confidentiality
  • Assist with overseeing the update and maintenance of files according to THHS requirements.
  • Follow all rules, regulations, and policies of Irving ISD and follow the supervisor s directives.
  • Perform any and all duties as assigned.
  • Remain informed of and comply with state, district, and school policies or regulations concerning primary job functions.
