The Talent Acquisition Coordinator is responsible for supporting the execution of the recruiting process through interview coordination, operational support, and process consistency. This role serves as a key partner to recruiters by managing logistics, maintaining system accuracy, and ensuring hiring processes move efficiently across all stages.

This position is focused on enabling recruiter effectiveness by handling scheduling, coordination, and administrative tasks, allowing recruiters to maintain full ownership of candidate relationships, assessment, and hiring outcomes.

The Talent Acquisition Coordinator also supports recruiting operations through job posting execution, hiring event coordination, reporting support, and process documentation. This role plays a critical part in delivering a consistent, high-quality experience for candidates and hiring teams while helping the Talent Acquisition function scale effectively.

Key Responsibilities Interview Operations & Logistics
  • Schedule and coordinate interviews across candidates, recruiters, and hiring teams, including phone, video, and onsite interviews
  • Manage interview logistics, including rescheduling, calendar alignment, and coordination across multiple stakeholders and time zones
  • Send interview confirmations and logistical details to candidates on behalf of the recruiting team
  • Coordinate candidate travel arrangements when required, including scheduling and logistics for onsite interviews
  • Track interview activity and support timely progression of candidates through each stage
  • Flag scheduling delays, gaps, or process bottlenecks to recruiters to ensure hiring momentum is maintained
  • Assist with agency coordination logistics, including scheduling agency-submited candidates and tracking submissions
Recruiting Operations & Process Support
  • Maintain accurate and up-to-date information in the applicant tracking system (ATS), including interview stages and scheduling notes
  • Assist in maintaining data integrity to support reporting and recruiting metrics
Events, Job Postings & Employer Branding Support
  • Provide administrative support for hiring events, including coordination of logistics, materials, and scheduling for job fairs, campus events, and industry events
  • Support job posting execution across platforms such as Linked In and Indeed, ensuring roles are posted accurately and consistently
  • Assist with employer branding efforts by supporting content coordination, social media posting, and recruiting‑related materials
Projects & Continuous Improvement
  • Provide administrative support for recruiting‑related projects, including interview training coordination and process documentation
  • Assist in updating and maintaining standard operating procedures (SOPs) and recruiting documentation
  • Support ad‑hoc projects to improve recruiting processes, tools, and team efficiency
Qualifications Required
  • 1–3+ years of experience in recruiting coordination, HR support, or administrative roles
  • Strong organizational skills with the ability to manage high‑volume scheduling
  • High attention to detail and ability to manage competing priorities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, including Outlook (calendar management), Excel (tracking/reporting), and PowerPoint (presentations and reporting support)
Preferred
  • Experience with applicant tracking systems such as Rippling
  • Experience supporting recruiting teams in construction, field operations, or technical environments
  • Familiarity with job boards such as Linked In and Indeed
Physical Requirements
  • Occasional travel by car or plane as needed to support off‑site recruiting and company networking events.
  • Sit and/or stand for extended periods (typically 6‑8 hours per day) while performing computer‑based tasks and facility support tasks.
