Conferences Planner – Exhibit Operations
This position is responsible for exhibit operations, service delivery, and sponsorship fulfillment for Gartner’s destination conferences in the North American region.
Responsibilities- Lead operational delivery of all exhibitor elements across multiple B2B conferences, including project management, floor plan management, financial management (forecasting, budgeting, and reconciliation), staff planning, and production scheduling.
- Develop, maintain, and improve exhibit floor plans to maximize revenue opportunities and participant engagement.
- Manage conference budgets with direct responsibility for all costs associated with exhibitor fulfillment and delivery; produce accurate monthly forecasts and manage expenses effectively.
- Serve as onsite lead for exhibit delivery at conferences, managing the production schedule, agency partners, vendors, and conference staff.
- Develop and maintain exhibit inventory related to the show floor, speaking sessions, and other marketing opportunities.
- Analyze data to determine the best course of action for various conference elements.
- Manage and maintain an online portal that holds all logistical information and details for exhibitors to ensure a high‑value client experience.
- Anticipate and react to client requests with a service focus that drives exhibitor retention.
- Liaise with key conference partners and internal team members to ensure successful conference execution, building and maintaining strong, trust‑based relationships.
- Achieve operational excellence and process efficiencies across all aspects of conference delivery.
- Develop a comprehensive understanding of Gartner’s conference business including the value proposition for attendees, exhibitors, and each exhibitor product.
- Standardize operational processes, project management, and best practices in both planning and onsite execution stages.
- Apply innovative and creative approaches to team management, engagement strategy, and operational execution.
- Bachelor’s degree preferred.
- 1‑3+ years of experience in event management, experiential marketing, event marketing, and/or tradeshow management.
- Proven event operational skills, including production schedules, budget management, and event staffing.
- Project management experience on detailed programs with multiple variables and dependencies.
- Proven experience managing agency and vendor partners.
- Strong interpersonal and relationship‑building skills with senior‑level professionals, cross‑functionally, and with agency partners.
- Creative, innovative, and strategic thinker with strong attention to detail.
- Strong financial management skills.

- Excellent oral and written communication skills, including presentation abilities.

- Base salary range: $50,000 – $74,000 USD (actual salary may vary by education, experience, performance, and location).
- Eligible for an annual bonus plan based on company and individual performance, or a role‑based, uncapped sales incentive plan.
