Document Scanning Associate
ONSITE/Shift schedule is 10:30am-7pm We are seeking an associate to operate an IBML high-speed document scanning machine in a production environment. This role is responsible for running multiple assigned jobs, preparing documents for scanning, loading and feeding materials, monitoring machine performance, and ensuring output meets quality and production standards. The ideal candidate is dependable, detail-oriented, comfortable working in a fast-paced environment, and able to follow job-specific instructions accurately.
Key Responsibilities- Operate an IBML machine to process multiple document scanning jobs according to daily production schedules.
- Set up and run different job types, including selecting the correct job profile, batch requirements, and processing instructions.
- Prepare documents for machine processing, including sorting, batching, removing staples or clips, aligning pages, and checking document condition.
- Load documents into the IBML machine and monitor feeding, scanning, sorting, and output during production.
- Identify and resolve basic machine issues such as jams, misfeeds, double feeds, or poor image quality.
- Perform quality checks to ensure documents are processed accurately and completely.
- Maintain accurate batch counts, job logs, production records, and exception documentation.
- Separate, organize, and stage completed work according to job requirements.
- Escalate machine issues, job discrepancies, or quality concerns to the supervisor or lead.
- Follow all company procedures related to document handling, confidentiality, data security, and quality control.
- Maintain a clean, organized, and safe work area.
- Assist with other production or document processing duties as assigned.
Ability to stand or sit for extended periods. Ability to lift, move, or carry boxes of documents, typically up to 25–35 pounds. Repetitive hand and arm movement required for document preparation, feeding, and sorting. Ability to work in a production environment with moderate machine noise.
Work ExpectationsMeet daily production and quality standards. Follow job-specific procedures for each assigned run. Handle all documents with care and confidentiality. Communicate issues promptly to the supervisor or team lead. Work overtime or adjusted hours as needed based on production volume.
SkillsPrevious experience in document scanning, mailroom, production, warehouse, print operations, or machine operation preferred. Ability to follow detailed instructions and switch between multiple job requirements. Basic computer skills and ability to work with production systems or job tracking tools. Strong attention to detail and accuracy. Ability to work independently and as part of a team. Reliable attendance and punctuality required. Experience handling confidential or sensitive documents.
Familiarity with batching, indexing, imaging, quality control, or production tracking.
High school diploma or equivalent preferred. Ability to pass Background, Drug Screen and if applicable Medical (i.e. Vision, Hearing, or Physical) if Required by Client. Medical, dental, vision, ancillary coverage and 401k benefits are available.
