What You’ll Do:The Title Specialist is responsible for processing, monitoring, and completing title transactions across the lifecycle of a commercial vehicle or equipment lease/loan account — including title origination, termination/release, and dealer‑side title servicing. The role requires close coordination with internal systems (Salesforce, Docuware, DDI), external vendors and state agencies, and other title team members to ensure titles are perfected, released, and recorded accurately and within required time frames.
Title Specialists are typically assigned to a primary channel (Vendor, Terminations, or Dealer) but must be able to support cross‑channel needs as volume dictates.
Title Processing & Records Management
- Processes title originations, terminations, and corrections, ensuring accurate and timely completion of all required documentation.
- Orders titles from DDI for terminations, repossessed assets, or other releases as needed.
- Releases a minimum of 40 title terminations per week (or the volume standard assigned to the role/channel).
- Reviews and processes title corrections, including dealer‑side and mail‑in title errors.
- Maintains accurate, up‑to‑date records in Salesforce (SF) and Docuware (DW), including logs and status notes.
- Reviews incoming mail/title receipts for accuracy and flags discrepancies for follow‑up.
- Follows up with customers and dealers to obtain outstanding documentation required to submit title work to vendors or state agencies.
- Reviews customer delinquency, issues final demand notices, and monitors accruing penalties as applicable.
- Prepares and submits origination title packets to third‑party vendors, ensuring all required documents are complete.
- Verifies title quotes and research state‑specific titling requirements as needed.
- Provides title copies, guarantee‑of‑title documentation, and duplicate title requests to internal teams, dealers, and third‑party payoff parties.
- Sends customer welcome communications and provides general customer service support related to title status.
- Monitors relevant dashboards (e.g., titles sent to vendors, titles requested delinquency, registration bucket) and follows up on aged items.
- Supports monitoring of syndication accounts, providing perfected title copies to syndication partners as required.
- Monitors ELT (Electronic Lien and Title) setup and issues and clears ELT/VLT stops as needed.
- Follows up with state agencies on titles not received within expected time frames.
- Submit state‑required forms (e.g., Form 227 or equivalent) as applicable to the assigned channel.
