Temporary Administrative Assistant - Executive Support
We're looking for a highly organized, detail-oriented Administrative Assistant to support our Executive Assistant and Executive Office. In this role, you'll be a key partner in keeping executive operations running smoothly, using proactive coordination, clear communication, and a strong eye for detail. The ideal candidate is positive, professional, and enjoys working in a fast-paced environment where managing multiple priorities and deadlines is part of the day-to-day.
Duration:
This is a temporary assignment, not to exceed 6 months
- Provide direct administrative support to the Executive Assistant and executive leadership team.
- Coordinate and manage complex calendars, schedule meetings, and arrange logistics for internal and external appointments.
- Assist with preparation of meeting materials, presentations, reports, agendas, and meeting packets, including taking minutes as assigned.
- Provide high-level administrative and project support to executive officers, vice presidents, directors, and department managers while maintaining professionalism and confidentiality.
- Prioritize and manage multiple tasks and projects simultaneously, meeting critical deadlines with accuracy and attention to detail, and communicate status updates and completion to management.
- Coordinate detailed travel arrangements and itineraries for executives and key team members.
- Prepare and reconcile expense reports, ensuring receipts are accurate and submitted in a timely manner.
- Coordinate executive lunches, meetings, and related logistics.
- Serve as a professional point of contact for internal and external stakeholders.
- Draft, proofread, and format correspondence and communications.
- Maintain organized files, records, and documentation in accordance with company standards.
- Support special projects, research initiatives, and department goals. Assist with reports, data entry, monthly tasks, and ongoing operational needs.
- Utilize advanced software systems to provide high-level coordination and organizational support for complex projects.
- Ensure compliance with Credit Union policies and procedures, including BSA requirements.
- 3+ years of administrative or executive support experience preferred
- Experience supporting senior leadership in a fast-paced environment
- Proven ability to manage multiple priorities and deadlines
- Associate degree or higher preferred
- Equivalent combination of education and experience considered
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Proficiency with Microsoft 365 and advanced office software tools
- Strong time management and project coordination abilities
- Ability to work independently and collaboratively across teams
In accordance with California's Pay Transparency Act, the expected hourly pay range for this role at Rize Federal Credit Union is $25.00-$31.00.
Actual compensation is determined by experience, education, skills, internal equity, and other job-related factors.
As part of the hiring process, candidates who receive a contingent offer will undergo a background investigation, which may include employment verification, credit review, criminal records search, Social Security verification, and government registry checks. Candidates must also meet eligibility requirements to be bonded under a fidelity bond.
