Facility Administration Junior (11178)
As part of the Global Facility Management Team, the Facility Administration Junior will provide administrative and analytical support to ensure the efficiency of Facility operations, contracts, and cost control activities.
The position is based in Monte San Pietro and primarily focused on supplier administration, reporting, fleet management and housing support, with occasional involvement in technical or operational aspects related to buildings and general services.
During the initial period the role will work in close alignment with the direct supervision of the Global Facility Manager to acquire the required skills, gain full insight into departmental activities, and develop the necessary competencies ensuring a structured onboarding process and a solid grounding in internal procedures and operational standards.
Role Mission
In close collaboration with senior colleagues in charge of Facility Administration and Facility Management, the role will guarantee the execution of mainly administrative, contractual and reporting tasks supporting supplier coordination, invoice control and budget monitoring in order to contribute to efficient and compliant facility operations across Datalogic’s sites.
Key Responsibilities
Handle supplier databases, contracts, renewals, and service documentation.
Support procurement and administration processes for the operative and documental activities related to general services and utilities suppliers.
Assist in monitoring and recording costs, invoices, and budget deviations supporting the preparation of monthly and quarterly reports.
Support housing management for employees on assignment (contracts, coordination with landlords, documentation).
Assist with company fleet operations (contracts, fines, renewals, car allocations).
Collaborate with the Facility Management team for the alignment between administrative and operational needs to ensure continuity of services.
Maintain archives, dashboards, and KPIs data collection related to Facility activities.
Requirements
Education
Technical high school diploma, Surveying/Building or equivalent preferred
Languages
Good English skills, written and spoken
Experience
At least 1/2 year of experience in administrative roles, eventual experience on facility support roles would be preferred
Other Information and specific Skills
Familiarity with basic concepts of building systems, utilities, and facility services.
Intermediate user of Microsoft Office (Excel, Word, Outlook), knowledge of ERP tools is a plus.
Organizational and analytical skills with attention to detail.
Reliability, confidentiality, and a proactive attitude.
Ability to collaborate within cross-functional teams.
Availability for occasional business trips (up to 5%).
