We are seeking a motivated and service-driven Assistant Event Manager to join the team at Borgo Santo Pietro, an award-winning five-star luxury boutique hotel set in the heart of the Tuscan countryside, surrounded by a 300-acre organic farm, vineyards, and beautifully landscaped gardens. The Assistant Event Manager will support the Event Manager in the coordination and execution of private events, ensuring the highest level of service and guest satisfaction.
The ideal candidate has excellent interpersonal skills, a strong sense of organization, and a genuine passion for hospitality and luxury service. Main Responsibilities Support the Event Manager in handling inquiries for private events such as weddings, celebrations, and seasonal experiences. Assist in preparing proposals, contracts, and follow-up communication while ensuring compliance with hotel policies and standards. Participate in organizing site inspections and hosting prospective clients, wedding planners, and travel agencies.
Coordinate with internal departments (F&B, Housekeeping, Front Office, Spa, Garden & Farm, etc.) to ensure seamless event execution. Assist in preparing and updating ODS/BEO documentation, detailing all operational and logistical needs for each event. Support on-site event operations, ensuring smooth communication and timely execution of all details. Help manage event data and documentation in the property’s PMS, including payments, deposits, and billing checks.
Maintain excellent customer relations through timely and professional email and phone communication. Candidate Profile At least 2 years of experience in a similar role, preferably in luxury hospitality or high-end event management. Excellent command of the English language; additional languages are an advantage. Exceptional organizational skills and strong attention to detail. Positive, proactive attitude with the ability to multitask and support senior management.
Strong communication and teamwork abilities.
