JOB SUMMARY:

This Project Coordinator provides critical project support to the Projects team to ensure projects are executed efficiently, on time, and within budget. The Project Coordinator is responsible for maintaining accurate project documentation, entering and tracking job data, assisting with proposal development, monitoring budgets and performance, as well as providing billing support. Additionally, the role coordinates with internal and external stakeholders including: internal teams, customers, vendors, subcontractors, and municipalities to secure permits, schedule resources, and manage changes to project scope, ensuring smooth project progression from initiation through completion.

ESSENTIAL RESPONSIBILITIES:
  • Creates and maintains project documentation within company systems ensuring documentation is accurate, adjusted for an scope or cost changes, and complete for all projects. This includes entering and establishing new jobs in the company ERP system, ensuring proper setup to established specifications, and closing jobs once complete and billed.
  • Assists with the preparation of project proposals, estimates, and budget tracking documentation.
  • Maintains and updates the customer BID list, including monitoring bid opportunities and submissions deadlines.
  • Maintains updates, prepares and distributes reports to monitor project completion, budget, and key metrics.
  • Procures required permits, licenses, and approvals needed for project execution by coordinating with vendors, subcontractors, customers, and government agencies.
  • Supports departments managers, project managers, and other key stakeholders with administrative tasks and follow-up activities to help ensure successful project execution and meet customer needs.
MINIMUM AND/OR PREFERRED QUALIFICATIONS:

EDUCATION:
  • High School Diploma or GED equivalent.
EXPERIENCE:
  • 2+ years of experience coordinating projects.

  • None
SKILL REQUIREMENTS:
  • Strong administrative and organizational skills with the ability to manage multiple and often changing, competing priorities and deadlines effectively.
  • Exceptional customer service and interpersonal skills, with the ability to build and maintain positive working relationships with customers, vendors, and co-workers.
  • High level of attention to detail and accuracy, with the ability to work independently and exercise sound judgment while working in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) with strong computer and data entry skills.
  • Strong problem-solving abilities and a proactive approach to task management.

WORK ENVIRONMENT:

This job operates in both an office and a field environment. Must be able to sit and/or stand for extended periods of time. Must be able to bend, lift, and carry light office supplies and file boxes of up to 25 lbs. occasionally.
