The Order Specialist is responsible for managing the full lifecycle of customer consumable orders. This role ensures accurate order processing, provides responsive customer support, and maintains data integrity across internal systems. The position works closely with sales, production, shipping, supply chain, and accounting teams to ensure timely order fulfillment and accurate revenue recognition.

Key Responsibilities
  • Manage end-to-end processing of customer consumable orders including contract review, order entry, documentation, and record maintenance within ERP and CRM systems.
  • Validate customer purchase orders against quoted pricing, terms, and internal system data to ensure accuracy and compliance.
  • Maintain customer accounts, contacts, and order‑specific terms to ensure consistent and accurate data across systems.
  • Coordinate with Sales, Production, Shipping, Supply Chain, and Accounting to ensure orders are fulfilled accurately and on schedule.
  • Monitor open orders and proactively address potential delays while communicating status updates internally and with customers.
  • Process order modifications, cancellations, blanket order releases, returns, and credit/debit requests in accordance with company policies.
  • Serve as a primary point of contact for customer inquiries related to order status, shipment tracking, delivery updates, and invoices.
  • Assist Sales and Accounting teams with documentation, credit‑related issues, and administrative support as needed.
  • Support inventory planning activities and perform additional duties as assigned.
Qualifications
  • Strong organizational and time management skills with the ability to handle multiple priorities in a fast‑paced environment.
  • Demonstrated ability to deliver high‑quality customer service with strong attention to detail and accuracy.
  • Experience working with ERP and CRM systems, including accurate order entry and record management (manufacturing ERP experience preferred).
  • Excellent verbal and written communication skills.
  • Ability to collaborate effectively with cross‑functional teams.
Education and Experience
  • Associate’s degree or equivalent work experience in a manufacturing or industrial environment.
  • Minimum of 5 years of customer service experience, preferably within manufacturing or related industries.
  • Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).

This role operates in a fast‑paced environment with frequent interaction with internal teams and customers. The position may require periods of standing, walking, bending, crouching, kneeling, and reaching. Occasional lifting of up to 50 pounds may be required.

When working in manufacturing areas, employees must wear required personal protective equipment (PPE) including safety glasses and steel‑toed shoes. Exposure to manufacturing conditions such as vibration, noise, moving equipment, artificial lighting, and production materials may occur.
