Sales Assistant
SummaryThis position primarily serves as a Sales Assistant to the Manager in the sales operations of the manufacturing sector. Responsibilities include handling domestic and international shipping arrangements, preparing various business documents, following up on purchase orders and quotations, onboarding new suppliers and customers, providing customer service, and supporting sales staff with various projects.
Essential DutiesPrepare and send checks, invoices, internal documentation, and packages for domestic and international shipments via various courier services (e.g., UPS, Fed-Ex, DHL), and arrange pickups.
Prepare and handle inquiries, purchase orders, invoices, quotations, packing lists, formal business letters, envelopes, address labels, air waybills, faxes, itineraries, etc.
Follow up on and expedite quotations and purchase orders.
Handle new supplier and customer onboarding in the sales tracking system.
Provide customer service (customer care, sending catalogs, following up/checking status of orders or requested information, obtaining flight information, etc.).
Negotiate with suppliers and customers regarding cost and lead times as needed.
Assist sales staff with orders and projects, and provide coverage when another sales person is out of the office.
Prepare monthly reports for sales, purchases, and backlog orders using Access / Excel.
Comply with company rules and policies, and organize/store all necessary documents, files, and brochures.

Working Hours, Working Style8:00 AM - 4:30 PM or 8:30 AM - 5:00 PM (includes a 1-hour lunch break).
Business trips required, including travel to Japan (may involve some hours outside standard business hours).
Maintain a professional appearance as a salesperson (dress shirts, etc.).

QualificationsRequirements:
Business-level English proficiency.
Knowledge and practical experience using Microsoft Outlook, Excel, Word, and Access to create purchase orders, invoices, and related business documents.
