Overview

The HUB Operations Coordinator is responsible for performing load planning activities and coordinating load assignments. The role monitors inbound and outbound freight at a HUB location, provides guidance to station personnel on routings, carrier assignment and other load planning activities, and serves as a liaison between the freight-forwarding station and the AIT Middle Mile Network HUB operation. Acting as the representative of the AIT Middle Mile Network team, the coordinator provides station management with communication, training, and guidance related to HUB operations, documents and communicates service failures, offers critiques, and provides additional training.

This on‑site, customer‑facing position requires adherence to AIT Worldwide Logistics core values. The coordinator directs routing of freight with partner and linehaul carriers, determines when additional loads should be booked, and coordinates with Linehaul Operations to ensure coverage of these loads.

Responsibilities
  • Communicate daily with station managers within the assigned geographic region to encourage and enhance usage of the AIT Middle Mile Network.
  • Identify opportunities being routed outside the network and communicate with owning stations to ensure freight is injected into the AIT Middle Mile Network.
  • Provide guidance on load quality and expectations for operating within the HUB operation through daily interaction with dock personnel, supervisors, and management.
  • Make routing suggestions based on service level requirements for high‑consequence shipments.
  • Process timely and accurate updates to the AS400 with departure times and additional information upon departure and arrival at assigned HUB locations.
  • Coordinate daily taskings according to priorities, adjusting as more data or information becomes available to protect service.
  • Provide loadouts to the HUB Operations Supervisor or station personnel for linehauls scheduled, ensuring proper paperwork is attached (AIT Middle Mile Pre‑Trip Inspection Forms, Activity Cover Sheet).
  • Collect information regarding activity before, during, and after shift and present it to the HUB Operations Supervisor or Domestic Transportation Manager.
  • Communicate proactively with customers (internal and external) regarding shipment status to provide best‑in‑class customer service.
  • Investigate misrouted freight, OS&D, and other discrepancies.
  • Move materials throughout the warehouse using a forklift and perform daily warehouse checks.
  • Process inbound and outbound documents, ensuring accuracy and reporting discrepancies as required.
  • Analyze data to inform KPI status of HUB Operations for presentation to customers, managers, and the AIT Worldwide Logistics organization.
  • Communicate with AIT Middle Mile Network Corporate Operations Team regarding additional ad‑hoc loads and routing requirements.
  • Operate under minimal supervision, conducting activities with little to no guidance.
  • Train and provide guidance to others, articulating processes and procedures even without documented procedures.
  • Occasionally communicate with station managers outside the assigned region to promote network usage.
  • Develop relationships with LTL carrier partners within the assigned region to facilitate business and problem resolution.
