Residential Assistant - Tompkins
The Tompkins Residential Assistant (RA) provides operational and administrative support for all transitional shared housing units. This position is responsible for overseeing the efficient management of residential operations, logistics coordination, and administrative tasks essential for maintaining a well-organized and supportive living environment for residents.
Essential Duties and Responsibilities
- Manage financial aspects of housing, including serving as the primary staff responsible for collecting rent from residents, ensuring bills are paid for all site locations (utility and internet bills, and coordinating payments.)
- Track rent payments and follow through on DSS applications related to rent assistance to ensure timely processing and approval
- Complete and coordinate all purchasing for residential operations, including household supplies, office supplies, and food or materials for house meetings
- Assist the Residential Director as needed, including supporting invoicing and financial documentation processes
- Coordinate administrative tasks related to housing operations, including assisting in the preparation of quarterly reports for funders and maintaining communication with landlords.
- Support the intake process, including entering HMIS data and preparing intake materials such as resident files and handbooks.
- Track and maintain resident demographic data and program reporting information
- Ensure client files are complete, accurate, and organized
- Assist residents with completing intake paperwork and required forms
- Serve as the primary point of contact for IT coordination, troubleshooting basic issues, and facilitating internet setup and maintenance.
- Order and manage supplies, ensuring each unit is well-stocked with essential items such as bedding and household necessities.
- Work directly with the housing team to assist with cleaning, preparing, and turning over units, including helping residents with move-in and move-out processes such as packing, organizing belongings, and ensuring units are left clean and ready for new residents
- Participate in regular room checks/inspections as part of the housing team to ensure compliance with program expectations and unit cleanliness
- Ensure each site has an up-to-date chore list posted and maintain bulletin boards with community resources, emergency contacts, and staff messages.
- Collaborate with the housing team to plan workshops and activities based on current program needs.
- Coordinate logistics for events, activities, workshops, and house meetings.
- Identify local volunteer opportunities and work with the housing team to coordinate resident participation.
- Support the housing team in coordinating activities related to residents' employment goals.
- Partner with the Peer Support Specialist to coordinate food resources including donation sources
- Participate in program and agency meetings
- Participate in on-call schedule rotation

Requirements
Qualifications
Education:
Associate degree in human service or related field.
Experience:
At least 2 years' experience working in a residential setting. Experience and ability to work with culturally diverse population. Experience in administrative or operational roles within a residential setting is preferred. Experience and ability to work with culturally diverse populations including individuals with low to moderate income. Proficiency in basic computer applications (e.g., MS Office suite) and willingness to learn new software as needed.
Additional Qualifications
- This position requires occasional evening or weekend hours to support resident activities and events.
- Ability to work independently in a community setting informing supervisor of concerns.
- Physical ability to perform light lifting and cleaning tasks as needed.
- Must have reliable, registered and insured vehicle.
