Program Coordinator

Are you a highly organized professional who enjoys building connections, solving problems, and creating exceptional experiences for students, faculty, and visitors? We are seeking a collaborative and proactive Program Coordinator to support the day-to-day operations and strategic activities of our interdisciplinary academic programs while serving as a key resource for faculty, students, and campus and community partners.

In this highly visible role, you will serve as the central point of coordination for the department and two thriving academic programs, and will help foster an inclusive, welcoming environment where innovative teaching, research, and student engagement can flourish. From academic programming to coordinating communications and events, you will play a vital role in advancing the mission and success of our department.

What You'll Do

Program Administration and Coordination

  • Serve as a trusted resource for students, faculty, visitors, and external partners.
  • Maintain program records, data, and documentation while ensuring compliance with privacy and data security requirements.
  • Develop and maintain program communications, including websites, newsletters, social media content, promotional materials, and other outreach efforts.
  • Support student recruitment and academic engagement initiatives, including information sessions, orientation activities, and advising resources.
  • Collaborate with faculty, staff, and campus and community partners to strengthen interdisciplinary teaching, research, and community engagement.
  • Compile reports, maintain governance documents, and support program planning and assessment activities.
  • Advise program leadership on policies, procedures, and operational best practices.

Department Operations

  • Serving as a welcoming first point of contact in Uris Hall for visitors, students, and faculty.
  • Directing inquiries accordingly to facilitate direction to appropriate resources.
  • Supporting facilities-related needs and office operations.
  • Assisting with student worker recruitment, onboarding, and coordination of work assignments.
  • In collaboration with colleagues, coordinating access control and daily mail and package deliveries.

Event Facilitation and Community Engagement

  • Lectures, colloquia, workshops, and speakers.
  • Student research showcases and networking events.
  • Community-engaged learning initiatives.
  • Advisory board meetings.
  • In collaboration with colleagues, department commencement event.

Responsibilities include coordinating travel, scheduling, venue management, event communications, catering, audiovisual support, budget tracking, and on-site logistics.

What We Need

  • Associate's degree with 4-6 years' relevant work experience, or equivalent combination of education and experience.
  • Demonstrated ability to work in a complex environment dealing with diverse constituents and situations using diplomacy and tact, while maintaining a positive, professional, and customer-oriented attitude.
  • Experience incorporating the perspectives of multiple communities.
  • Extensive ability to work quickly and effectively under pressure, use judgement in accomplishing tasks that are urgent or of a sensitive or confidential nature, to balance conflicting priorities, and make decisions from a range of choices.
  • Effective interpersonal skills and considerable initiative, supported by a strong work ethic to complete tasks in a timely fashion.
  • Superior organizational skills and attention to details are a must.
  • Excellent writing skills to formulate and present written material in a logical and comprehensive fashion. Outstanding verbal communication skills.
  • Ability to locate, extract, identify, organize, and format important information and data; analyze, synthesize, and compile data.
  • Due to the interdisciplinary nature of the programs and minimal supervision, the incumbent must work independently as the primary contact and assess and respond to needs, taking care to consult with the department and program directors when appropriate.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
