Assistant Parts Manager

Are you knowledgeable about small engines, outdoor power equipment, and replacement parts? Ithaca Ace Hardware is looking for an organized, detail-oriented, and customer-focused Assistant Parts Manager to support our growing service department.
In this role, you will help manage the parts operation for leading brands such as STIHL, Toro, EGO, and other outdoor power equipment manufacturers. You will assist customers and service technicians in identifying the correct parts, maintain accurate inventory, coordinate orders, and ensure the department has what it needs to complete repairs efficiently.
Parts and Inventory Management- Oversee the receiving, stocking, organization, and merchandising of parts and accessories.
- Maintain accurate inventory records and research inventory discrepancies.
- Monitor frequently used parts and place timely orders to support customer and service department needs.
- Manage special orders, backorders, returns, and warranty parts in accordance with manufacturer requirements.
- Use parts diagrams, catalogs, inventory systems, and manufacturer websites to identify and locate components.
- Monitor inventory levels to help prevent overstocking and stock shortages.
- Maintain an organized, safe, and easy-to-navigate parts area.
- Assist customers in identifying and selecting the correct parts for small engines, lawn and garden equipment, power tools, and outdoor power equipment.
- Communicate clearly regarding product availability, pricing, special orders, and expected delivery dates.
- Provide knowledgeable recommendations on parts, accessories, installation, maintenance, and related products.
- Help troubleshoot equipment and parts-related questions.
- Recommend additional products or services when they would benefit the customer.
- Build positive relationships with customers, vendors, and store team members.
- Work closely with the Service Manager and technicians to ensure parts are available for equipment repairs and maintenance.
- Coordinate repair priorities and provide technicians with the necessary parts to minimize equipment downtime.
- Track parts assigned to service jobs and maintain accurate transaction records.
- Help ensure customer and service department needs are handled promptly and efficiently.
- Maintain accurate records of inventory movements, customer orders, warranties, and parts transactions.
- Assist with monitoring department expenses, sales, and inventory performance.
- Stay current on new equipment, products, models, and manufacturer processes.
- Help train store team members on parts identification, lookup systems, and customer service expectations.
- Support counter sales and other service department needs as assigned.
Work Experience
- High school diploma or equivalent required; related education or certification is a plus.
- Previous experience in small engine, automotive, equipment, retail parts, or a similar environment strongly preferred.
- Knowledge of small engines, lawn and garden equipment, power tools, and outdoor power equipment.
- Familiarity with STIHL, Toro, EGO, and similar brands is a plus.
- Ability to read parts diagrams and identify components accurately.
- Strong organizational skills and attention to detail.
- Excellent customer service, communication, and problem-solving skills.
- Comfort using computers, inventory management systems, parts lookup programs, and manufacturer websites.
- Ability to prioritize multiple responsibilities in a fast-paced service environment.
- Willingness to continually learn new products, equipment, and manufacturer processes.
