The Receptionist serves as the first point of contact for visitors, clients, and employees. This role is responsible for creating a welcoming, professional environment while managing front desk operations, handling communications, and supporting day-to-day administrative and facility needs.
Key Responsibilities
- Greet and assist visitors, clients, and vendors in a friendly and professional manner.
- Answer and direct calls from the main phone line.
- Manage the reception area to ensure it is clean, organized, and presentable.
- Receive, sort, and distribute daily mail and packages.
- Create and process Fed Ex shipping labels and coordinate outgoing shipments.
- Order office and breakroom supplies and monitor inventory levels.
- Restock supplies across all floors on a daily basis.
- Coordinate bereavement flower orders on behalf of the company.
- Manage and maintain the visitor management system.
- Issue, update, and audit employee parking permits.
- Fulfill personal protective equipment (PPE) requests.
- Manage the Jackson lobby calendar and coordinate lobby usage.
- Maintain and manage the office key lockbox.
- Schedule, set up, and tear down conference rooms, including Park View and lower-level spaces.
- Maintain visitor logs and issue badges, if applicable.
- Provide general administrative support such as data entry, filing, and document preparation.
Qualifications
- High school diploma or equivalent required; associate degree or relevant coursework preferred.
- 1–2 years of customer service, receptionist, or administrative experience preferred.
- Strong verbal and written communication skills.
- Professional, friendly, and customer-focused demeanor.
- Proficient in Microsoft Office or similar office software.
- Ability to multitask and stay organized in a fast-paced environment.
Preferred
Associates or better in Business Administration.
