SummaryThe Document Control Specialist III will support project document control and records management activities for electric distribution construction projects. This role partners closely with engineering, project management, and operations teams to ensure accurate control, tracking, and issuance of engineering and project records throughout the full project lifecycle—from planning and design through construction and closeout. The position plays a key role in maintaining configuration management, document compliance, and record integrity for capital projects.
Key Responsibilities- Support project document control functions for construction projects and other document management activities as needed
- Work closely with engineering teams to guide compliance with document review, record requirements, and established procedures
- Process and manage engineering and project records including drawings, manuals, transmittals, correspondence, and engineering change notices (ECNs)
- Support projects during design, construction, and closeout phases
- Maintain and update electronic document management systems used to track, distribute, and transmit documents and vendor submittals
- Generate and report activity metrics for daily, weekly, and monthly operating reviews
- Request and manage controlled document numbers per established numbering conventions, including drawings, layouts, wiring diagrams, and equipment or line numbers
- Audit project and asset records for accuracy and completeness, identify issues, and support corrective actions
- Assist with document management procedures and continuous improvement efforts
- Provide hard copy and electronic documents to construction projects as required
- Ensure critical asset documents are issued and properly recorded
- Interface regularly with engineering, plant personnel, and drafters
- Maintain organized work spaces and manage plotting, scanning, and supply needs
- Follow safety standards, compliance requirements, and company policies
- High school diploma or equivalent
- 2–4 years of experience in records management, document control, or a related role
- Experience with document control systems such as Project Wise, Primavera Unifier, CM14, Prolog, or similar tools
- Strong communication, organizational, and customer service skills
- Ability to manage multiple priorities in a fast‑paced environment
- Experience using systems such as SAP and document management platforms
- Experience in engineering, utility, or construction document control environments
- Background in clerical, administrative, or technical document control roles
- Experience with database management
- Coursework or associate degree in Information Science, Data Processing, or related fields
- Adobe Acrobat Pro experience
- Plotter and scanner operation experience
- Standard office hours:
Monday–Friday, 7:00 AM – 4:00 PM (or approved alternate schedule) - Occasional extended hours or weekend work may be required
- Limited travel to project sites or other offices may be needed to deliver critical documents; proper PPE required
