Position: Sr Executive Assistant to the VP

Consumers Energy is Michigan’s largest energy provider, delivering natural gas and electricity to 6.8 million residents across all 68 lower‑peninsula counties. We are committed to reliable, clean, and affordable energy available 24/7.

Location

This is a hybrid (virtual/onsite) position requiring onsite days on Monday, Tuesday, and Thursday at the One Energy Plaza headquarters in Jackson, MI. Candidates must be within commutable distance or be willing to relocate (relocation package available).

General Summary of

Job Responsibilities

The Senior Executive Assistant to the Vice President (VP) provides confidential administrative support, managing calendars, scheduling, travel arrangements, and expense reports. The assistant applies independent judgment, prioritizes emails and calls, gathers documentation for meetings, and coordinates the VP’s communications.

This position will support our VP of Human Resources.

Essential Duties and Responsibilities
  • Serve as primary resource between internal and external contacts; screen calls, inquiries, visitors, and correspondence; maintain the VP’s calendar; prioritize emails and respond appropriately; track completion of required training for VP and staff.
  • Facilitate annual HR processes; cascade department goals and objectives; manage performance evaluations; handle merit cycle allocations and reward and recognition requests.
  • Coordinate and prepare materials for presentations and meetings; prepare memos, letters, and related documents; research and prepare reports, and provide summaries and recommendations for operational and administrative issues.
  • Arrange on‑site and off‑site meetings, including space, accommodations, catering, IT support; create agendas; manage Teams Live Events and edit videos for recaps and distribution; co‑lead planning for departmental webcasts and summits; run VP’s daily operation reporting meetings.
  • Register VP for conferences and produce itineraries and agendas; coordinate corporate travel (air, ground, hotels) in accordance with policy.
  • Assist with budgeting, invoices, requisitions, contracts, and financial documents; collect receipts and calculate mileage; review and approve expense reports for VP’s direct staff and internal invoice requests.
  • Support VP’s direct reports; create regular reports/documents; update internal databases (SharePoint, Teams, One Note) and administer department activities such as metrics, training, and timesheet approvals.
  • Co‑lead department administrative assistants with coaching and training.
  • Order office supplies and technology items as needed.
  • Perform onboarding for new hires and offboarding for departing employees.
  • Review practices and recommend improvements such as workflow, reporting procedures, or expenditures; create internal surveys to gather process data; assist with long‑ and short‑term planning, project milestones, scheduling cross‑organization meetings, and disseminate updates to leadership and stakeholders.
  • Other duties as assigned.
Knowledge, Skills, and Abilities
  • Organize and prioritize multiple assignments in a timely manner.
  • Excellent verbal and written communication skills.
  • Good interpersonal skills.
  • Advanced proficiency in Microsoft Excel and general Microsoft Office suite; aptitude to learn new software and systems.
  • Ability to use and navigate HCMs, Docu Sign, Service Now, and Access Now.
  • Proven ability to manage multiple projects simultaneously with strict attention to detail.
  • Discretion and ability to handle confidential information.
  • Familiarity with graphic design software such as Adobe Photoshop and InDesign.
  • Working knowledge of FERC, MPSC, and CMS Energy company guidelines.
Education and Experience
  • Bachelor’s degree in Business or a related field and 4+ years of professional administrative experience.
  • OR Associate’s degree in Business or a related field and 6+ years of professional administrative experience.
  • OR High School diploma and 8+ years of professional administrative experience.
