Position Overview:

We are seeking a highly organized and detail-oriented Business Support Advisor to join our team in Jackson, MI. This hybrid contract role will provide project coordination, administrative, and business support across multiple initiatives. The ideal candidate will have experience supporting project teams, maintaining project schedules and documentation, coordinating stakeholder communications, and ensuring projects remain on track through effective planning, reporting, and compliance.

Key Responsibilities:

  • Maintain, monitor, and coordinate multiple project plans, schedules, milestones, work hours, budgets, and expenditures.
  • Support project planning activities by tracking deliverables, deadlines, dependencies, and project progress.
  • Gather and document business requirements from stakeholders and business units.
  • Develop templates, worksheets, and reporting tools to facilitate business planning and project execution.
  • Convert, organize, and reformat business data into standardized technical formats.
  • Coordinate and participate in stakeholder meetings, project team meetings, design sessions, and technical discussions.
  • Prepare meeting agendas, capture meeting minutes, track action items, and follow up on project deliverables.
  • Support transition planning activities in collaboration with Change Management and business unit leaders.
  • Monitor transition activities, identify project risks, elevate critical issues, and communicate updates to project leadership.
  • Maintain organized project documentation, document repositories, version control, and ensure compliance with audit requirements.
  • Prepare project status reports, milestone reports, dashboards, executive presentations, and other project documentation.
  • Track organizational deadlines, project milestones, and workflow activities to ensure timely project execution.
  • Provide administrative support to project teams, including scheduling meetings, coordinating logistics, and maintaining project records.
  • Assist with preparing presentation materials, project communications, and visual management tools, including rally room materials and project posters.
  • Support continuous improvement initiatives by identifying opportunities to streamline project documentation, reporting processes, and workflow efficiencies.

Required Qualifications:

  • Experience supporting project coordination, project scheduling, project administration, or PMO activities.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Experience maintaining project documentation, schedules, reports, trackers, and meeting minutes.
  • Strong verbal, written, and presentation communication skills.
  • Experience coordinating with cross-functional teams and multiple stakeholders.
  • Ability to identify project risks, monitor progress, and communicate issues effectively.
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Microsoft Teams.
  • Experience with Power BI, SharePoint, Microsoft 365, or other project collaboration tools is preferred.
  • Knowledge of document management, file organization, administrative processes, and workflow coordination.
  • Ability to work independently while collaborating effectively within cross-functional teams.

Preferred Qualifications:

  • Experience supporting business transformation, transition planning, or change management initiatives.
  • Experience in utilities, energy, engineering, manufacturing, or other highly regulated industries.
  • Familiarity with project management methodologies, project lifecycle processes, and compliance-driven environments.
  • Experience with project management tools such as Microsoft Project, Smartsheet, Jira, Rally, or similar platforms.
