Job Summary/Purpose

Provides comprehensive office and clerical support to ensure efficient daily operations. Key responsibilities include time entry, IT and facilities requests, payroll reporting, and records management. The role also assists with contract management, accounting processes, and customer communication. The clerk plays a vital role in supporting storm restoration efforts and providing project-related assistance.

Responsibilities
  • Perform administrative duties within the department as may be required. Learn to perform necessary computer and clerical work to support the department to which assigned.
  • Perform data entry for specific work functions within the department, such as time entry for multiple construction projects, data entry for geocoding and AutoCAD design information, and customer accounting transactions affecting billing and collection.
  • Provide project assistance as directed by department leadership.
  • Records management custodian responsibilities including file maintenance, reporting, and compliance with internal and regulatory records retention policies.
  • Assist in coordinating workplace safety audits and preparing associated reports. Assist in preparation of the safety budget and gathering relevant information. Assist in coordination of the onboarding process and maintaining employee training records and files.
  • Must be willing to assume a storm restoration role and travel if necessary. Provide support for emergencies, storm work, and outage restorations (including out of town), during scheduled and non-scheduled hours as required.
  • Operate standard office equipment and all programs and applications required for the position related to departmental responsibilities (examples include time entry and payroll systems, contact management systems, invoice programs, expense reporting systems, schedule systems).
  • Communicate effectively and maintain professionalism during stressful conditions when dealing with internal and external customers.
  • Communicate and provide updates to customers when work is expected to be performed. Facilitate resolution of customer complaints or tickets as needed.
  • Coordinate events, meetings, and trainings as requested, such as ordering supplies, food, documents, invites, maintaining calendars, and room reservations.
  • Handle administrative tasks including mail, deliveries, and IT/facilities/access requests. Provide general support to office staff, including research, documentation, and coordination with other teams.
  • Monitor and ensure accuracy of accounts payable and accounts receivable, as requested, including documentation and invoicing. Process contractors’ invoices, initiate purchase orders, claim management processing, conduct invoice validation, reconcile allocations, and verify rates per contract terms.
  • Manage and create work orders, including creating tickets and outage notifications. Occasionally assist with dispatching work orders as requested.
  • Run payroll reports, advise on missed timesheets, resolve login or device issues for the time and labor system, and create necessary code blocks.
Minimum education

High School Diploma or Equivalent

Minimum experience

Ops Support Asst I - 0-2 years

Ops Support Asst II - 2-4 years

Ops Support Asst III - 4-6 years

Ops Support Asst Sr.

- 6 years

Minimum knowledge, skills, and abilities

Knowledge of Microsoft Office Applications, Entergy corporate applications (DSS, DIS, Indus, Earl, Pearl, VEA, ECOS, Service Suite, AM/FM DFM & Time and Labor). Must be familiar with CCS. Familiar with all company policies and procedures. Possess excellent communication skills, both written and oral with internal and external customers. Willing to work extended hours as needed. Self-starter with high initiative, willingness to learn new processes.

Excellent multitasking and teamwork capabilities are a must.
