Position Location

This position will be located onsite at the Stennis Space Center, Mississippi.

Job Overview

The Administrative Operations & Facilities Coordinator provides administrative, facilities, property accountability, security access, and operational support services for facility and departmental operations. This role supports day‑to‑day coordination activities involving facility management, access control, office reconfiguration, procurement tracking, property accountability, training coordination, and contractual compliance requirements.

Job Duties
  • Process and coordinate security access requests for vendors, construction personnel, and support staff using IdMAX.
  • Support background investigation and badging processes by collecting and validating required documentation.
  • Conduct facility walkthroughs and coordinate maintenance requests and corrective actions.
  • Maintain accountable property inventories and support annual property inspections and excess property disposal activities.
  • Prepare reports, presentations, meeting minutes, and other administrative documentation.
  • Coordinate meetings, conferences, office moves, and cubicle reconfiguration activities.
  • Coordinate IT support requests including computers, phones, LAN connectivity, and related equipment.
  • Utilize MAXIMO to order supplies, create purchase requisitions, and track purchase orders.
  • Track employee training requirements, coordinate training schedules, and assist with employee physical scheduling.
  • Support DRD reporting and other contractual compliance requirements.
  • Ensure PPE requirements are maintained in compliance with safety standards.
  • Perform other related administrative and operational duties as assigned.

  • Communicate and coordinate effectively with employees, management, customers, vendors, and support teams.
  • Support a professional, organized, and team‑oriented work environment.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Maintain compliance with company, customer, safety, and contractual requirements.
Mandatory
  • Must maintain a valid driver’s license.
  • Must be a U.S. Citizen in order to obtain the required NASA badge.
  • Ability to successfully complete all required employment verification and badging documentation processes.
  • Ability to communicate effectively in English, both verbally and in writing.
Preferred
  • Associate degree or additional related experience.
  • Experience supporting government, NASA, industrial, or facilities operations environments.
  • Familiarity with IdMAX, MAXIMO, property accountability, or compliance reporting processes.
  • Experience coordinating office moves, facilities support, or procurement activities.
