Job Summary
The Office Coordinator of the Center for Ministry at Millsaps College oversees the administration and coordination of diverse ministry education programs. This role manages budgets, grants, events, registration systems, and ongoing program assessment while serving as a key point of communication for faculty, clergy, partners, and participants. The position requires strong organizational, financial, and project management skills to ensure high-quality programming that supports lifelong learning and leadership development.
This is a full-time position that works on-site in Jackson, MS with regular office hours Monday-Friday from 8:00am - 4:30pm with a one-hour unpaid lunch break. Evening and weekend work is occasionally required to support major events and initiatives.
Job Duties
* Provide comprehensive administrative and operational support to the Center for Ministry, the Course of Study School, and the Office of the Chaplain.
* Manage multiple concurrent projects, grants, and partnerships, including program timelines, deliverables, and outcomes.
* Develop, monitor, and reconcile program budgets; maintain complete financial records and ensure fiscal integrity.
* Coordinate registrations, databases, transcripts, and continuing education records using systems such as Brick River and online platforms.
* Serve as the primary liaison with stakeholders, including faculty, clergy, denominational leaders, institutional partners, and participants.
* Organize and host conferences, courses, and events (on-campus and online), overseeing logistics, hospitality, and schedules.
* Supervise contracts, honoraria, reimbursements, and payments for instructors, consultants, and vendors.
* Maintain and update the Center for Ministry website, registration forms, communications, and program materials.
* Other duties as assigned
Qualifications
* Bachelor's degree or an equivalent mix of education and relevant personal experience
* 5+ years experience in office management role.
* Exceptional leadership, time management, facilitation, administrative, writing, verbal communication and organizational skills.
* Proficiency in online financial platforms, profit/loss statements, overall knowledge of generally accepted accounting practices, Microsoft Word and Excel.
* Working knowledge of computer data input systems such as Brick River, web-site design and management, computer skills in program registration development and management.
Physical & Availability Requirements
* Prolonged periods sitting at a desk and working on a computer.
* Manual dexterity needed for keyboarding and other repetitive tasks.
* Must be able to lift and move up to 25 pounds without assistance.
