Job Summary
This position is responsible for providing administrative support to the Division of Student Life, including serving as the direct support person to the Vice President for Student Life. This position is also responsible for coordinating campus reservations, UU This Week email, Chase Report, and serving as solution-oriented resource for the campus constituencies.

Job Duties
Administrative Responsibilities
* Provide administrative assistance to the Vice President (VP) for Student Life as needed.
* Manage calendar for the VP for Student Life, coordinating arrangements for meeting location, agendas, and reminders. Coordinate monthly Student Life staff meetings, including room set up, agenda, and printed materials.
* Pick up and mail packages at the Union University Post Office on behalf of the Student Life Department.
* Prepare requisitions and reimbursement requests for the VP for Student Life and Student Life directors.
* Prepare agendas and reports for Board of Trustees meetings. Attend Student Life and Ministry sub-committee meetings and take minutes, preparing reports to send to the president's office according to established guidelines.
* Send communications to the Union community on behalf of the VP for Student Life and/or directors.
Coordinator for Student Life
* Serve as concierge for the Office of Student Life, greeting visitors, providing information, and directing them to other personnel as needed. Serve as a solution-oriented resource for the school to faculty, staff, students, and the community. Answer incoming calls and relay them to the appropriate office. Handle confidential phone calls and situations in a professional and grace-filled manner.
* Obtain information on students who are missing from class, withdrawing from the university, or not registered for the upcoming term. Maintain the "Chase Report" (run periodically by IT during registration season,) recording every contact with students who have not registered, monitoring retention numbers for executive leadership. Provide detailed information to the VP for Student Life, faculty, and advisors.
* Compile and send weekly UU This Week email to students, faculty, staff, and parents about current Union events and announcements. Maintain campus bulletin boards, approving fliers and announcements. Update university-wide digital signs (TVs) as slides are submitted and as needed. Coordinate SUB hallway table reservations for student groups advertising their events.
* Update annually several handbooks/online resources including the Campus Life Handbook (Undergraduate, Graduate/Adults);
Frequently Asked Questions: A Handbook for Parents;
The Bulldog Guide; and New Faculty/Staff Frequently Asked Questions. Facilitate posting online and/or printing and distribution of these booklets as needed.
* Gather monthly Student Life Highlights from Student Life directors and compile into a monthly report to email to select administrators, faculty, staff, and board members.
* Keep current departmental "months" lists on file to keep individuals and departments on track for annual tasks and events, maintain institutional memory, and ensure smooth transitions. Send "months" list reminders to student life team members each month.
* Coordinate with the Special Events Manager to facilitate and maintain the university-wide master calendar through the Event Manager reservation system. Assist administration, faculty, and staff with their event and meeting reservations. Manage conflicts in reservation dates and/or resources. Compile the weekly reservation report and email to select administration, faculty, and staff.
* Manage office supplies and equipment, placing orders as needed.
* Update and forward to University Communications any updates to the Student Life web pages.
* Organize and assist with Assessment Day held once each semester.
* Help plan the New Student Orientation (NSO) parent and guest session, communicating with the speaker panel and arranging other details as needed. Compile orientation materials for mailing to new students and parents who did not attend NSO.
