Position: ADMINISTRATIVE ASSISTANT

Overview

Rite of Passage Team is hiring an Administrative Assistant at Norris Academy in Andersonville, Tennessee.

Location:

Andersonville, TN, a residential treatment facility serving youth with autism spectrum disorders and other neurodevelopmental diagnoses.

Compensation range:
Starting at $17 an hour.

Responsibilities
  • Be the first point of contact for all visitors and answer business phone calls professionally.
  • Follow PPI and HIPAA laws and regulations.
  • Assist HR with pre‑screening applications and scheduling pre‑employment screening.
  • Maintain accurate and organized records of invoices, payments, and related financial transactions.
  • Enter financial transactions, invoices, and other data accurately into the accounting system or spreadsheets.
  • Organize and maintain financial records and documentation in a systematic and secure manner.
  • Lead the Morale Committee and manage its monthly budget.
  • Prepare internal and external communications, memos, and meeting minutes.
  • Prioritize conflicting needs and handle matters expeditiously, proactively, and follow through on projects to successful completion.
  • Receive, review, and process invoices from vendors and suppliers, ensuring accuracy and compliance with company policies.
  • Verify invoices against orders and receiving documents and resolve discrepancies with purchase orders.
  • Prepare and process payments (checks, electronic transfers, ACH) while adhering to payment terms and schedules.
  • Collaborate with purchasing, finance, and vendors to resolve inquiries related to financial transactions.
  • Organize meals for all staff meetings and visitors when needed.
  • Perform other job‑related duties as assigned.
Qualifications
  • High school diploma or equivalent; a bachelor’s degree preferred.
  • Minimum of 2 years of experience in a fast‑paced administrative role.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Experience creating and managing content for social media platforms.
  • Excellent written, verbal, and in‑person communication and presentation skills.
  • Ability to operate with discretion, professionalism, and confidentiality.
  • Strong interpersonal skills and ability to build relationships.
  • Strong organizational and time‑management skills with attention to detail.
  • Self‑motivated, solution‑oriented, and capable of thriving in a multi‑task environment.
  • Ability to work independently and collaboratively.
  • When required to operate a company vehicle, possess a current state driver’s license and acceptable driving record.
  • Must pass a criminal background clearance, drug screen, physical, and TB test.
