The Billing Specialist is responsible for supporting the company’s work order billing function by ensuring accurate, timely, and complete processing of billable items. This role focuses on reviewing, validating, and processing work orders for customer billing while maintaining compliance with internal policies and contractual requirements.

The Billing Specialist works closely with the Billing Manager, Operations teams, Accounts Payable, and Accounting to ensure proper cost recovery, revenue accuracy, and efficient billing cycle performance.

Key Responsibilities
  • Review work orders for completeness, accuracy, and proper documentation prior to billing.
  • Validate billable charges against vendor invoices, contracts, and company policies.
  • Process customer billing transactions accurately and within established timelines.
  • Identify and resolve discrepancies between vendor costs and billable amounts.
  • Maintain organized billing documentation to support audits and internal controls.
Billing Accuracy & Quality Control
  • Perform detailed review of billing data to ensure accuracy and compliance.
  • Escalate complex billing issues or exceptions to the Billing Manager.
  • Assist in monitoring billing queue volumes and meeting established productivity benchmarks.
  • Support internal control procedures related to billing processes.
Cross-Functional Coordination
  • Partner with Operations teams to clarify work order details and resolve documentation gaps.
  • Coordinate with Accounts Payable to ensure alignment between vendor payments and customer billing.
  • Support Accounting during month-end close by ensuring billing transactions are complete and accurate.
Reporting & Process Support
  • Assist in tracking billing metrics such as backlog, cycle times, and error rates.
  • Support process improvement initiatives to enhance billing efficiency and system utilization.
  • Contribute to the development and maintenance of standardized billing procedures.
Qualifications
  • Willingness to work full-time in the office.
  • Intermediate knowledge of Microsoft Excel is required.
  • 1–3 years of experience in billing, accounting, accounts payable, or related financial operations preferred.
  • Experience with accounting software is highly desirable.
  • Ability to work independently with minimal supervision.
  • Strong attention to detail and organizational skills.
Physical Demands
  • Sitting – approximately 90%;
    Walking/Standing – approximately 10%
  • Occasional lifting up to 15 lbs.
  • Prolonged, close-up work on a computer screen.
Mental Demands
  • Ability to problem-solve, interpret information, and meet deadlines.
  • Work performed in a climate-controlled office space.
