Vaco has an immediate need for a Claims Specialist in Jacksonville, Florida. This position is fully onsite and contract to hire.

The position is responsible for providing administrative claims support. Key Functions/Duties of Position:
  • Deliver exceptional service to both internal and external customers, effectively de‑escalating challenging interactions and ensuring a positive experience.
  • Receive and document First Notice of Loss (FNOL) reports, accurately entering claim details and routing assignments to the appropriate adjuster based on claim severity.
  • Manage daily workflow through Operations and Outlook queues, ensuring timely handling of all assignments.
  • Prepare redacted declaration pages and other supporting documents for adjusters.
  • Draft and distribute initial acknowledgement letters, gather required policy documentation, and coordinate vendor assignments as needed.
  • Process, categorize, and upload incoming mail, emails, faxes, and physical evidence into the correct claim files with precise labeling.
  • Serve as the first point of contact for customer service inquiries, providing clear communication and timely assistance.
  • Communicate with business partners via phone and email regarding messages, inquiries, and claim‑related issues.
  • Request W‑9 forms from vendors and route completed documents to Vendor Management.
  • Process expense and invoice payments in accordance with departmental procedures.
  • Post financial transactions—including salvage, subrogation, and deductible recoveries—into the claim system.
  • Download and prepare claim files for attorney review and suit assignments.
  • Transfer data received through CDs or Share File links into the claim system.
  • Review and escalatory bodily injury demands and lawsuits appropriately.
  • Review and process subpoenas in accordance with company guidelines.
  • Handle all incoming and outgoing physical mail, ensuring timely distribution and documentation.
  • Process policy cancellations and filings as required.
  • Monitor claims for dismissal and final invoices for closure.
  • Contribute to special projects and perform additional duties as assigned.
Education Requirement
  • Bachelor’s Degree or some college preferred
Qualifications:
  • Self‑motivated and results oriented

  • Superior customer experience skills
  • Positive attitude and professional demeanor
  • Strong computer skills, including Excel and Outlook, and the ability to master multiple policy and claims

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
