Overview

Vaco has an immediate need for an Insurance Operations Specialist. This is a contract-to-hire role that sits fully onsite. Hours are 8:30‑4:00 pm, Monday‑Friday. The position is responsible for providing administrative policy support.

Key Functions / Duties
  • Prepare and coordinate processing for certified policy requests, cancellations, reinstatement notices, and filings.
  • Index incoming correspondence and documents to underwriting files.
  • Provide policy support for new business and renewal submissions, ensuring completeness, accuracy, and compliance with underwriting requirements.
  • Research and respond to agent/insured correspondence, calls, and inquiries including requests for loss runs and copies of forms and endorsements.
  • Manage multiple email inboxes.
  • Provide superior customer service to internal and external customers.
  • Provide support across Operations department as needed.
  • Contribute to special projects and perform additional duties as assigned.
Education Requirement

Bachelor's Degree or some college preferred.

Qualifications
  • 1‑3 years of operational support experience preferred.
  • Background in insurance industry preferred.
  • Strong proficiency in Microsoft Office Suite programs (particularly Excel and Teams).
  • Proficiency in Adobe Acrobat Pro.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Strong interpersonal and communication skills; ability to establish trust and effective working relationships with both internal and external customers.
  • Demonstrated customer service experience and the ability to interact with a wide variety of people on a daily basis in person and via telephone and email.
  • Ability to work both independently and in a team environment.
  • Willingness to be flexible, learn on the job, and maintain a "can-do" attitude.
  • Must possess strong analytical and prioritization skills.
  • Excellent time‑management skills; accuracy and thoroughness, completing tasks with minimal mistakes.
  • Ability to work in a fast‑paced environment and respond quickly when necessary.
