Job Summary
The Admissions Operations Specialist reports to the Associate Director of Enrollment Operations and is responsible for Admissions document processing. The person in this position will assist the Enrollment Operations team in maintaining data integrity and process efficiency while improving student experience.
Supervisory Responsibilities:
* Monitor daily workflow and work assignments of student workers and Graduate Assistants
* Hire and trains new student workers and Graduate Assistants
* Approves time sheets and time off
Duties/Responsibilities
* Oversee all admissions document processing, including importing and uploading transcripts, test scores and other application materials
* Manage data uploads and imports from third-party vendors to Admissions CRM
* Maintain data integrity by reconciling data discrepancies and inconsistencies in applicant records
* Assist with transfer of data from Admissions CRM to University ERP
* Assist with printing and mailing of admissions print materials
* Provide excellent customer service to internal and external stakeholders
* Communicate and collaborate effectively with internal team and campus partners
* Continuously identify opportunities for process improvement and operational efficiencies
* Maintain documentation of processes and provide training to student workers,
* Graduate Assistants and/or relevant admissions staff as needed
* Perform other duties as assigned
Required Skills/Abilities
* Technologically proficient with the ability to learn new systems quickly
* Attention to detail and accuracy
* Comfortable working autonomously and collaborativley in a dynamic environment
* Proactive in identifying efficiencies and improving processes
* Flexible mindset with a willingness to adapt as processes and priorities evolve
Education, Certificates, Licenses, and Experience
* Associate's degree in technology-related field or equivalent relevant experience
* Bachelor's degree is preferred
* Experience with data entry and/or document processing
* Preferred experience working in a CRM
* Proficient in MS Office suite
* Demonstrated tech savviness and ability to learn and operate different systems
Physical Requirements
* Must be able to lift and carry equipment and supplies weighing up to 20 pounds.
* Must be able to bend, stoop, and reach.
* Manual dexterity to efficiently operate a computer keyboard and other business machines.
* Adequate hearing to communicate effectively in person and by phone
