What we’re looking for:A Construction Project Administrator with 5+ years of administrative experience, preferably within a commercial/industrial general contracting firm to join in our success.
What you’ll do:- Prepare and route construction contracts (subcontracts, purchase orders, and change orders) in our internal system to vendors and accounting department.
- Daily Procore web-based project management applications.
- Prepare monthly requisitions for Payment on Procore or Excel lien waivers for payment purposes.
- Coordinate bids and assist with bid solicitations.
- Type and prepare documents, such as Letters, Reports, Memos, Spreadsheets, and Meeting Minutes.
- This work may entail producing confidential documents.
- Prepare final documentation in written format. Careful editing and proofreading is required.
- Maintain, compile, and process closeout documents, O & M manuals, and warranties at job completion. Provide front desk/reception support as required.
- Assist Superintendents with general project information, including travel arrangements as needed.
Experience:
- High school diploma or college degree.
- At least 5 years of administrative experience, preferably with a commercial/industrial general contractor.
- Task-oriented with an ability to manage multiple priorities in a flexible, supportive work environment.
- Ability to work independently.
- Ability to work in a fast-paced environment and have a strong sense of urgency to complete tasks in a timely manner.
- Proficient in Procore (Project Administrator level), MS Word (Advanced level), Excel (Intermediate level), PowerPoint, Outlook, and other software necessary to perform job-related responsibilities.
- Superior written communication and proofreading skills are mandatory.
- Must be organized and detail-oriented.
- Ability to establish and maintain effective working relationships with peers, supervisors, clients, and vendors.
- Ability to work under deadline pressure and extra hours if needed on assignments.
- Must be a team player and able to easily accept change.
