We are seeking an experienced Executive Administrative Partner to support senior leadership as the firm continues to grow. This role is critical to maintaining operational excellence, executive focus, and seamless internal and client‑facing coordination.
The ideal candidate is highly organized, anticipates needs before they surface, and thrives in an environment where precision, discretion, and follow‑through matter. This individual will serve as a trusted partner to leadership, helping translate vision into execution while keeping the firm running smoothly behind the scenes.
Key Responsibilities- Coordinate internal leadership meetings and external partner or client‑related meetings
- Manage complex and dynamic executive calendars with shifting priorities
- Prepare and reconcile expense reports and vendor or purchase requests
- Coordinate domestic travel arrangements and occasional off‑site logistics
- Support planning and execution of strategic off‑sites, leadership meetings, and team gatherings
- Serve as a connective tissue across client service, operations, and leadership teams
- Build strong working relationships across departments to ensure alignment and efficiency
- Partner closely with other administrative and operations professionals as the firm scales
- Communicate key organizational updates and priorities to internal stakeholders
- Handle general administrative and operational support duties as needed
- 5+ years of experience providing high‑level administrative support to senior executives
- 5+ years of experience managing complex calendars and coordinating travel logistics
- 5+ years of experience with expense reporting and operational coordination
- Proven ability to prioritize multiple projects in a fast‑paced environment
- Proficiency with Microsoft Office and Google Workspace
- Exceptional organizational skills, attention to detail, and follow‑through
- Bachelor’s degree
- Experience supporting leadership in financial services, professional services, or a fiduciary environment
- Experience planning and executing strategic meetings, off‑sites, or leadership events
- High level of discretion and comfort handling confidential information
- Strong written and verbal communication skills
- Ability to operate calmly and decisively amid growth and change

Compensation$53,000.00 - $69,200.00
Final compensation is determined by skills, qualifications, experience, and role scope. Benefits and additional incentives may be available depending on the employment structure.
