Responsibilities
  • The essential function of the position within the organization is to provide high level administrative and executive assistant support with various responsibilities to the Circuit Court Judge’s office. The position works independently under general supervision of the Circuit Judge.
  • Prepares and maintains the judge’s court and professional calendar.
  • Exceptional ability to organize and prioritize numerous tasks and to complete them within stringent timelines.
  • Ability to proofread materials for contextual, grammatical, typographical and spelling errors.
  • Critical interpersonal skills to communicate in person, by email and telephone observing strict confidentiality.
  • Screens telephone calls and visitors to the judge’s office; provides information; resolves issues; directs caller/visitor to proper personnel or agency; or takes messages.
  • Composes and/or edits correspondence, memoranda, directives, notices, orders, e-mails, and other documents observing strict confidentiality.
  • Assist in preparing yearly financial disclosure forms; makes travel arrangements and processes travel reimbursement vouchers for conferences and meetings; tracks CLE/CJE credits for assigned judge.
  • Performs routine administrative tasks such as reviewing, distributing, and responding to incoming mail; performing data entry; ordering office supplies; maintaining files/records; faxing; scanning; or photocopying.
Education and Training Guidelines

High School diploma or GED and two years of college or vocational school education in paralegal, secretarial skills, computer operations or a closely related field and three years of related experience.

A paralegal degree is desirable.

Knowledge Skills Abilities

Applicants should have three years’ responsible experience as a legal secretary or paralegal; should have excellent typing, spelling, and grammar skills; and must be professional and diplomatic in dealing with attorneys and the public.

Applicant should be proficient in Word, Outlook, and Excel. Applicants should be able to operate standard office equipment, including personal computers, word processing, electronic calendaring, and data entry applications for case management.
