Position Summary

The Front Desk Receptionist / Administrative Coordinator serves as the first point of contact for visitors and callers while providing critical administrative and document support to internal teams. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, professional office environment.

Key Responsibilities
  • Answer and manage a multi-line phone system, directing calls to appropriate staff and taking accurate messages as needed
  • Greet and assist visitors, ensuring a professional and welcoming office experience
  • Maintain awareness of staff schedules and availability to properly route communications
  • Receive, sort, and distribute incoming mail and packages; coordinate outgoing and express shipments
  • Ensure reception area, meeting rooms, and common spaces are clean, organized, and presentable
  • Log, track, and route incoming requests using internal systems, ensuring timely and accurate handling
  • Coordinate multi-step administrative requests across teams and follow up to ensure completion
  • Assist with document preparation, including assembling materials, applying naming conventions, and verifying completeness
  • Perform basic technical editing such as formatting documents, standardizing terminology, and correcting grammar
  • Transfer and manage data across systems and templates with a high degree of accuracy
  • Maintain organized electronic filing systems and document version control
  • Support report generation, checklists, and internal tracking logs
Qualifications
  • High school diploma or equivalent required
  • 1–3 years of experience in a receptionist, administrative assistant, or office support role
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with multi-line phone systems and general office equipment
