The Administrative Supervisor will support office leadership, coordinate staff, and serve as a key liaison between the Jacksonville office and firm management.
Responsibilities
* Distribute prebills for attorney review and ensure timely submission of finalized invoices
* Monitor billing workflows and follow up to meet deadlines
* Partner with Finance on billing inquiries, revisions, and client-related matters
* Process invoices, reimbursements, and vendor payments within approval guidelines
* Assist with monitoring and managing local office expenses
* Coordinate staff schedules, timekeeping, and PTO requests
* Support onboarding and training of new hires in partnership with HR
* Foster a professional, collaborative, and inclusive office culture
* Oversee daily office operations to ensure efficiency and organization
* Manage office supplies, equipment, and vendor relationships
* Coordinate office maintenance and liaise with Facilities as needed
Administration & Coordination
* Serve as the primary liaison between attorneys, staff, and firm leadership
* Coordinate meetings, events, and conference room usage
* Maintain organized physical and electronic records in compliance with firm procedures
* Support internal communications and office-wide updates
Qualifications
* 5+ years of office management or administrative leadership experience, ideally within a law firm or professional services environment
* Prior law firm billing experience required, including familiarity with time entry, prebills, and billing cycles
* Strong understanding of legal billing processes and financial workflows
* Experience working closely with attorneys and finance teams in a professional services setting
* Proven leadership and interpersonal skills with the ability to manage and support staff effectively
* Excellent organizational, communication, and problem-solving abilities
* Ability to manage multiple priorities and meet deadlines in a fast-paced environment
* Proficiency in Microsoft Office Suite and general office systems
* Experience coordinating with IT, facilities, and HR functions
* Understanding of compliance standards, office policies, and data security best practices
* Ability to troubleshoot basic technology issues and escalate as needed
