JOB DESCRIPTION:

We are looking for an organized professional individual who has the ability to multi-task, and demonstrates excellent computer and people skills. This position will be in Jacksonville and will work closely with the Leadership team, Program Office staff, and other administrative support staff for the Economic Self Sufficiency program. Background in clerical and administrative support duties preferred. Biweekly pay 1,363.38.

EXAMPLES OF WORK PERFORMED:

* Responsible for operating a personal computer and other office equipment

* Utilize various computer software programs

* Prepare administrative reports, documents, and correspondence.

* Research, gather data and prepare written reports and independently initiate special projects.

* Prepare correspondence, reports, memorandums, staff meeting minutes, and other material on general and technical subjects.

* Prepare, type and submit travel vouchers for ESS Program staff.

* Perform general copying, mail distribution duties daily.

* Maintain required contact lists.

* Copy and distribute correspondence and other materials to units and other personnel.

* Plans workflow and time utilization in order to maintain high level of productivity and to complete work on schedule.

* Maintains all files and records of office correspondence, documents, reports, and other materials.

* Assists with Random Moment Sampling, tracking correspondences, maintaining logs, creating charts and graphs.

* Handles Client Relation updates and tracking for completion.

KNOWLEDGE, SKILLS AND ABILITIES:

* Knowledge of the principles and techniques of effective communication, verbally and in writing.

* Knowledge of office procedures and practices.

* Knowledge of standard business formats and styles for letters and business forms.

* Knowledge of the methods of data collection.

* Knowledge of basic arithmetic.

* Ability to deal with the public in a tactful, courteous and effective manner

* Ability to organize, maintain, compile, analyze, review data for accuracy and completeness for management and administrative decisions.

* Ability to organize and maintain filling systems.

* Ability to plan, organize and coordinate work assignments.

* Ability to establish and maintain effective working relationships with others.

* Ability to use correct spelling, punctuation and grammar.

* Ability to operate general office equipment.

* Ability to handle telephone calls in a courteous and effective manner.

MINIMUM REQUIREMENTS:

Three years of secretarial or clerical work experience. College education from an accredited institution or vocational/technical training can substitute at the rate of 30 semester, 45 quarter or 720 classroom hours for each year of the required experience. A high school diploma or its equivalent can substitute for one year of the required work experience.

Must be able to lift 25 pounds or more.

Knowledge of Microsoft Office Word, Excel, and Power Point. Must be familiar with Adobe and Visio, document scanning and DVS Capture.
